Job Title: Executive Assistant (Bilingual Spanish/English)

Location: Houston, TX

Our client is an industry leader in Specialty Minerals for Animal Feed Additives, Oil & Gas, and other industrial applications.

Responsibilities:
  • Executive Support:
  • Provide direct assistance to executives by managing schedules, appointments, and travel arrangements.
  • Handle correspondence and communications in both Spanish and English.
  • QuickBooks and Accounting:
  • Assist with bookkeeping tasks, including managing QuickBooks for expense tracking, invoicing, and financial records.
  • Help prepare basic financial reports and ensure accurate documentation of transactions.
  • General Marketing Experience (Preferred, not a Requirement):
  • Assist with general marketing tasks, such as coordinating campaigns, preparing materials, and managing social media accounts.
  • Help maintain the company's online presence by updating websites or marketing collateral.
  • Administrative Duties:
  • Handle a variety of office-related tasks, including filing, document management, and responding to inquiries.
  • Translate documents and communications between Spanish and English as needed.
  • Customer and Vendor Relations:
  • Liaise with vendors, suppliers, and customers, ensuring clear communication in both languages.
  • Assist with customer inquiries, especially for Spanish-speaking clients.
  • Logistics Coordination:
  • Coordinate and manage the logistics of shipments, ensuring smooth delivery operations for domestic and international orders.
  • Communicate with suppliers, vendors, and transport companies to track shipments and resolve any logistical issues.
  • Ensure compliance with customs regulations, particularly with shipments to/from Mexico and other international locations.

Qualifications:
  • Fluent in both Spanish and English (written and verbal).
  • Experience with QuickBooks and basic accounting tasks.
  • Strong organizational and multitasking abilities.
  • General marketing experience is preferred but not required.
  • Public Notary License is preferred but not required.

Skills:
  • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint).
  • Strong communication and interpersonal skills.
  • Ability to work independently and manage multiple tasks.
  • Detail-oriented with a proactive approach to problem-solving.
