The Executive Assistant provides key administrative and communications support to two Vice Presidents of Corporate Communications, Entertainment Television. This role is responsible for day-to-day coordinating of internal and external events for executives and teams, scheduling conference room meetings, booking varying travel arrangements, and overall cross-department collaboration within different departments to help facilitate fulfillment on departmental needs related to but not limited to scheduling, pulling press clips, building media lists and helping to facilitate media communications including interview coverage and tracking incoming inquiries.
Pay Rate Range: $29-$31 per hour, dep on Exp
Responsibilities:
Read relevant newspapers and trade journals so you are completely immersed in the mission of the office
Manage version control on announcements and media communications, often with dozens of drafts, in an organized and timely manner
Prepare regular reports & summaries and collaborate on ad hoc projects - you'll have tasks that you "own" completely
Create multi-city travel itineraries, taking into account time zones, weather delays, traffic and fatigue levels
Interface directly with other senior executives and executive support professionals - your ability to work well with people on all levels is a very important part of your job
Review your leader's schedule to build-in time for things like brainstorming/executing and traveling to their next meeting
Understand the day's priorities so you can be strategic about how you direct phone calls and manage calendar changes
Be ready to throw the entire schedule out the door when an emergency comes up, then pick it up again when the dust settles
Schedule conference rooms, meetings and video calls
Handle extremely confidential, sensitive information, remembering that Disney is a publicly traded company
Draft letters and emails on behalf of your leaders
Manage large purchase orders and vendor contract processing
Process expense reports, renew memberships & subscriptions and work on ticket requests for shows

Assist with on-boarding new employees - you'll be the "friendly face" that newbies count on to answer all their questions, including some who are extremely senior in the organization
Mentor and train other support professionals in hard skills like computer programs, and soft skills like teamwork
Assist with planning large, high-profile events like premiers, product launches, off-sites as well as smaller-scale gatherings such as service recognition parties and team-building activities(as needed)
Partner with all executive support professionals within the segment in order to ensure smooth, effective & accurate communication to the broader team
Additional office support and supply management, as needed
Qualifications:
At least 5 years of supporting C-Suite executives (VP+) and/or equivalent experience
Sharp written and verbal communication skills, including flawless grammar and a rich vocabulary
Desire to immerse yourself fully and learn all aspects of your executive's business
Ability to multi-task and prioritize deadlines/deliverables
Strong proficiency with all types of computers, phones and office equipment, as well as mastery of Microsoft Office programs, SAP, Confluence, Concur, Smartsheets, and working in a Windows environment
A calm head and steady hand to deal with the unexpected

Complete reliability handling confidential information
Desire to truly be helpful to your leaders and co-workers, to go the extra mile without being asked
