Our client, a well-known entertainment company, is seeking an Executive Assistant to join their team for an 11-month hybrid contract based in Burbank, CA. This role involves on-site work from Monday to Thursday. The ideal candidate will possess 5+ years of experience supporting C-Suite executives (VP level or higher) within the entertainment industry, navigating a complex organizational structure.
Responsibilities:
Stay informed by reading newspapers and trade journals relevant to the office.
Organize and manage multiple drafts of announcements and media communications.
Prepare reports, summaries, and take ownership of specific tasks or projects.
Arrange detailed travel itineraries, considering factors like time zones and delays.
Interact professionally with executives and support staff at all levels.
Adjust schedules based on changing priorities and emergencies.
Coordinate meetings, conference rooms, and video calls.
Handle sensitive, confidential information responsibly.
Draft letters and emails on behalf of executives.
Process purchase orders, vendor contracts, and expense reports.
Assist with onboarding new employees and train support staff.
Plan and organize events like premieres, team activities, and recognition parties.
Provide general office support and ensure smooth communication across teams.
Requirements:
5+ years of experience supporting C-Suite executives (VP level or higher).
Excellent written and verbal communication skills.
Strong multitasking, organizational, and time management abilities.
Advanced proficiency in Microsoft Office, SAP, Confluence, Concur, and similar tools.
Ability to maintain confidentiality and handle sensitive information.
Professional demeanor, positive attitude, and flexibility for occasional extra hours.
