Key Responsibilities:

Front Desk Management:
  • Greet and assist visitors with a polished, professional demeanor.
  • Answer and direct phone calls, taking detailed messages when necessary.
  • Maintain a clean, organized, and inviting front desk area.

Administrative Support:
  • Manage schedules and calendars for three executives, ensuring seamless coordination.
  • Organize and prepare meeting materials, including agendas and reports.
  • Assist with occasional event planning and client meeting arrangements.

Office Management:
  • Ensure the office is fully stocked with supplies and snacks.
  • Coordinate with vendors and service providers (e.g., cleaners, IT support).
  • Monitor and maintain office equipment, resolving minor technical issues.

Billing & Finance:
  • Send invoices to clients promptly and accurately.
  • Assist with coding and tracking invoices, liaising with the finance team as needed.

Qualifications:
  • Proven experience in a similar role (administrative assistant, receptionist, or office manager).
  • Exceptional organizational and multitasking skills.
  • Strong verbal and written communication skills.
  • Familiarity with office software (e.g., Microsoft Office Suite, scheduling tools).
  • Basic accounting or bookkeeping knowledge is a plus.
