Key Responsibilities:
Front Desk Management:
Greet and assist visitors with a polished, professional demeanor.
Answer and direct phone calls, taking detailed messages when necessary.
Maintain a clean, organized, and inviting front desk area.
Administrative Support:
Manage schedules and calendars for three executives, ensuring seamless coordination.
Organize and prepare meeting materials, including agendas and reports.
Assist with occasional event planning and client meeting arrangements.
Office Management:
Ensure the office is fully stocked with supplies and snacks.
Coordinate with vendors and service providers (e.g., cleaners, IT support).
Monitor and maintain office equipment, resolving minor technical issues.
Billing & Finance:
Send invoices to clients promptly and accurately.
Assist with coding and tracking invoices, liaising with the finance team as needed.
Qualifications:
Proven experience in a similar role (administrative assistant, receptionist, or office manager).
Exceptional organizational and multitasking skills.
Strong verbal and written communication skills.
Familiarity with office software (e.g., Microsoft Office Suite, scheduling tools).
Basic accounting or bookkeeping knowledge is a plus.
