Our client-a highly reputable and industry leading organization-is currently seeking an ambitious, smart, and dedicated Executive Assistant in the Chicagoland area. This individual will provide integral administrative support to several members of the executive leadership team, as well as serve as a resource within the broader team to fulfill office administration/business operations duties as needed.
This position will have a high level of visibility to the organization's executive team members, internal business units and external vendors; in addition, to an opportunity to make an impactful contribution to the organization's operations, corporate initiatives and long-term strategy. It is critical that this individual possess a professional demeanor, entrepreneurial spirit, strong organization and communication skills, adaptability and multi-tasking capabilities as well as demonstrate the ability to thrive in a professional and fast-paced environment.
Responsibilities:
Complex travel arrangements and itineraries (domestic and international); prepare detailed itineraries and materials for various meetings and events as required.
Expense management and processing.
Support Accounts Payable processing; execute client and external vendor invoice tracking and payments.
Calendar management (maintain organization of multiple complex business/personal schedules).
Serve as the liaison for executive management team to all internal business units and external vendors.
Work in collaborative manner with other administrative professionals to provide effective cross-functional communication, support coverage as well as to anticipate project demands and accurately manage deliverable timelines.
Complete regular clerical duties on monthly, quarterly, annual basis, such as, managing document filings, preparing board presentations, materials or reports as necessary.
Collaborate with corporate facilities department to manage office space requirements for a growing organization - manage and forward all incoming calls/emails and other communications.
Requirements:
Minimum of 3 years of work experience; previous administrative/executive support experience in the financial services or professional services (management consulting or legal services) industry preferred.
Strong organizational, written/verbal communication, and interpersonal skills.
Highly motivated, trustworthy, and committed to delivering consistent level of quality.
Ability to exercise discretion and maintain highly confidential and pertinent information.
Reliable and able to prioritize and multi-task initiatives simultaneously.
Maintain superior level of professional and ethical standards.
