Job Summary

We are seeking a highly organized and detail-oriented Office Assistant/Production Coordinator to join our team. This role is essential in maintaining the smooth operation of our production office and ensuring effective coordination of various tasks. The ideal candidate should possess strong multitasking abilities, excellent organizational skills, and a general interest in the fashion industry.

Key Responsibilities

1. Schedule Management:

- Coordinate and schedule meetings, appointments, and events for the production team.

- Ensure timely communication and updates regarding schedules to team members.

2. Research and Documentation:

- Create and compile decks on research related to competitors, industry trends, and market analysis.

- Organize and maintain up-to-date information in a structured manner.

3. Asset Management:

- Organize and manage assets in Google Drive and Lark, ensuring they are easily accessible to team members.

- Maintain a well-structured digital filing system for assets and documents.

4. Vendor Relations:

- Handle invoice submissions and follow up with vendors to ensure timely payments.

- Maintain records of financial transactions and invoices for accurate tracking.

5. Multitasking and Prioritization:

- Manage multiple tasks and prioritize them effectively in a fast-paced environment.

- Adapt to shifting priorities and work efficiently under pressure.

6. Production Support:

- Utilize general production skills to assist with on-set tasks as required.

- Collaborate with the production team to ensure smooth operations during shoots.

7. Communication:

- Exhibit excellent written and oral communication skills when interacting with team members, vendors, and clients.

- Facilitate clear and concise communication within the office.

8. Attention to Detail:

- Maintain amazing attention to detail, ensuring accuracy and precision in all tasks.

- Proofread and review documents for errors and inconsistencies.

9. Technical Skills:

- Demonstrate proficiency in Google Suite applications and other relevant office software.

- Act as a point person for technical support within the office.

10. Learning and Development:

- Display a strong willingness to learn and improve.

- Continuously seek opportunities to enhance skills and knowledge related to development and physical production.

Qualifications:

- Bachelor's degree in a related field or equivalent work experience preferred.

- Bilingual proficiency in Chinese and English would be better.

- Previous experience as an office assistant or in a production coordinator role is preferred.

- Some on-set experience as a production assistant is a plus.

- Knowledge of the fashion industry and a general interest in fashion.

- Strong logical thinking and problem-solving abilities.

- Exceptional organizational skills and the ability to prioritize tasks effectively.

- Adaptable and capable of working efficiently in a fast-paced environment.

- High tolerance for working under pressure and meeting tight deadlines.

- Proficiency in Google Suite applications.

- Excellent written and oral communication skills.

- A strong sense of responsibility and a proactive attitude.

- Self-motivated and able to work independently as well as part of a team.

- Familiarity with production and coordination tasks in a creative industry is advantageous.
