Position Overview

The Front Desk Operations Specialist plays a vital role in providing exceptional service to clients and visitors while ensuring smooth administrative operations. This role requires professionalism, a strong sense of organization, and the ability to work effectively in a fast-paced environment.

Key Responsibilities
  • Client Interaction: Greet clients and visitors with professionalism and warmth. Answer and respond to phone calls, managing and directing them effectively.
  • Office Administration: Manage office logistics, including mail handling, deliveries, and maintaining supplies, while ensuring a professional and organized environment.
  • Data Management and Renewal Support: Maintain and update client records in EPIC, supporting renewal processes with attention to detail and accuracy.
  • Daily Operations: Perform and refine the "morning checklist" to ensure office readiness and efficiency.
  • Team Support: Provide administrative assistance to team members, contributing to a cohesive and efficient workflow.

Qualifications
  • Relevant client service experience in a professional setting.
  • Proficiency in Microsoft Office; ability to quickly learn new systems (experience with Applied EPIC is a plus).
  • Highly organized with strong attention to detail.
  • Exceptional communication skills, both verbal and written.
  • A customer-focused mindset with the ability to deescalate situations and problem-solve effectively.
  • Availability to work full-time hours, Monday through Friday, 8:30 AM to 5 PM.
