The ideal candidate can handle a wide range of responsibilities independently and doesn't require constant direction.
Role Description
This is a hybrid role for an Executive Assistant at MG Enterprises in Tampa, FL, with flexibility for remote work. The Executive Assistant will be responsible for executive administrative assistance, managing expense reports, providing executive support, and facilitating communication within the organization.
Examples of What You'll Be Doing:
Project Coordination:
Take my ideas and instructions and turn them into actionable project plans.
Use tools like Notion and Airtable to create project cards, dashboards, and checklists.
Clarify tasks for team members, set deadlines, and ensure everyone understands what's expected.
Administrative Support:
Act as a buffer between me and the team, especially with new employees, by handling questions and issues independently when appropriate.
Communicate effectively with staff, vendors, and external partners to carry out initiatives.
Manage scheduling, correspondence, and other administrative tasks as needed.
Operational Assistance:
Assist with hiring processes, including drafting job descriptions, posting positions, and coordinating interviews based on provided guidelines.
Oversee content creation tasks, such as coordinating video recaps or thumbnail designs, ensuring these responsibilities are managed without my direct involvement.
Handle data migration and process improvements, like moving forms from Wufoo to Airtable, using your technical skills to streamline operations.
Problem-Solving and Initiative:
Anticipate needs and proactively address tasks without requiring constant guidance.
Distinguish between questions that require my input and those that can be resolved independently.
Learn new tools or skills as necessary to accomplish tasks effectively.
Utilize available resources and collaborate with the team to find answers to complex questions (e.g., calculating customer acquisition costs before a conference).
