People Architects is excited to partner with a Westlake Village, California based client seeking their newest member, a Sr. Executive Assistant, to join their team!

In this strategic in office support role, you will serve as a trusted partner to the CEO, executing high-level administrative and operational duties that demand confidentiality, initiative, and sound judgment. We are looking for a seasoned professional who thrives in a fast-paced, high-responsibility environment, proactively managing priorities and facilitating seamless day-to-day operations across the organization.

You will be responsible for ensuring operational efficiency and accountability, partnering closely with the executive team to drive business outcomes. You will act as an extension of the CEO, representing the company with professionalism and discretion, handling high-impact communications, and ensuring that all engagements are well-prepared, on schedule, and aligned with the CEO's strategic priorities.

Key Responsibilities:
  • Act as the primary point of contact for internal and external stakeholders, representing the executive's priorities and facilitating high-level decision-making.
  • Ensure the smooth execution of daily operations by enforcing accountability to processes, managing workflows, and optimizing the executive's time and productivity.
  • Take ownership of executive scheduling, including balancing professional and personal commitments, managing competing priorities, and ensuring alignment with strategic objectives.
  • Manage sensitive correspondence on behalf of the CEO, ensuring timely responses and delegating tasks as appropriate to ensure smooth operation across the organization.
  • Oversee and manage key projects and initiatives, including liaising with external vendors, coordinating cross-functional teams, and ensuring successful execution of deliverables.
  • Plan, organize, and execute high-level meetings, events, and travel arrangements, providing detailed itineraries and documentation, and managing post-event follow-up.
  • Conduct strategic research and provide actionable recommendations on key business initiatives and decisions.
  • Play a pivotal role in supporting team cohesion, managing special projects, and ensuring a positive and efficient workplace environment.
  • Assist the CEO with personal tasks, including managing appointments, projects, and various responsibilities to ensure alignment between personal and professional commitments.

  • Advanced skills in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and an aptitude for learning and adapting to new technology systems.
  • A Bachelor's degree or equivalent experience, with a proven track record in high-level executive support, project management, or operations.
