The Director, IT Project Management Office is responsible for the successful delivery of IT Projects as well as the day-to-day administration, management & support of the organization's non-ERP business applications (HRIS, payroll, business intelligence, SQL/application development, collaboration, etc.). This hands-on position, which plays a critical role within the IT team, is responsible for leading IT infrastructure & non-ERP software projects from initiation through deployment, integrating acquired companies, and deploying new capabilities & business processes. The position will lead a team responsible for project delivery, requirements gathering, development & testing of new reporting capabilities, and working with the user community to implement other new solutions. The position works closely with key members within the business, application software providers, and other members of the IT team bringing forth opportunities to better leverage technology to support the planned growth of the business.
Key Accountabilities:
Project & Application Management (60%): • Leads and/or provides oversight of all assigned IT projects from initiation through deployment. Responsible for managing project resources, scope, budget, risk, issues, and timeline. • Reviews and monitors the health of assigned projects and, when necessary, takes the required action(s) to ensure that the expected project outcomes will be successfully achieved. • Organizes and facilitates meetings to review and track project goals, progress, status & issues. • Establishes and maintains relationships with key project stakeholders, providing them with timely project updates. • Creates, reviews and/or approves all required project deliverables including, but not limited to, project schedule, budget vs. actual spend, functional/technical requirements, risk register, communication plan, status report, change request, lessons learned, and system handover documents. • Responsible for system architecture, planning and all day-to-day activities for non-ERP software applications (Workday, ADP, Tableau, SharePoint, SQL/custom, system integrations, etc.). Monitors and performs actions to ensure that system capacity, utilization, availability, and application performance meets the established business requirements. • Works with user community to define, test and implement new versions, customizations & enhancements to supported applications. • Works with business counterparts to identify, document and prepare business cases. Analyzes and prepares cost estimates for proposed projects. • Ensures that the teams help desk tickets are accepted, updated, and resolved in compliance with established Service Level Agreements (SLA's). Communicates related project and application issues and status to the business user community. • Performs required activities to help quickly and seamlessly integrate newly acquired organizations. • Helps identify vendors, products, and solutions that solve identified business opportunities.
Personnel Administration (20%): • Manages a team of 4-6 employees, contractors, and service providers. • Plans and organizes the activities of the team, including providing guidance, communication, and direction to personnel. Performs normal personnel functions, which may include hiring, firing, training, development, discipline and coaching.
General (15%): • Develops strong partnerships and can assess and develop strategies for achieving the needs of the user community. • Defines and manages user expectations. Matches business requirements to new or existing products, capabilities, or services. • Ensures that deployed systems comply with all applicable legal, and fiduciary policies, practices, and requirements. • Identifies and evaluates emerging technologies and opportunities that will positively affect business strategy and performance. • Accurately prepares written business correspondence that is coherent, grammatically correct, effective and professional. • On call for emergencies and special projects.

Requirements
Education: • Bachelor's degree required, degree in Computer Science, Business Administration, or related field preferred • PMP certification preferred
Experience: • 10+ years' hands on experience in a project management capacity managing and successfully delivering IT projects. • Experience implementing, supporting and administrating back-office software applications. • Knowledge and understanding of common business processes and practices in a distribution environment.
Specific skills: • Strong written/verbal communication, interpersonal, analytical, and problem-solving skills. • Good time management skills and proven ability in meeting deadlines while working in a results-driven team environment. • Ability to effectively juggle multiple projects, tasks and/or requirements simultaneously. • Ability to construct comprehensive project plans that detail all required tasks, milestones, and dependencies. • Working knowledge of common business software applications. • Highly proficient knowledge of personal computing applications (MS-Office, Project, Visio, SharePoint). • Working knowledge of Microsoft .net framework, C#, HTML, SQL Server, Visual Studio, SQL Server Management Studio and Tableau.
