Job Description Summary
The University of South Alabama’s Office of Accreditation and Planning is seeking to hire a Program Coordinator for Accreditation & Student Support. Interested candidates should apply to be considered.
Essential Functions These are the job duties required of the position.
Essential Functions
Provides administrative support to the Office of Accreditation and Planning and assists the Associate Dean and staff in the department in managing office operations, supporting the re-accreditation process, and facilitating coordination with other departments.
Organizes and coordinates logistics for Continuous Quality Improvement (CQI) Committee meetings and any subcommittees, including scheduling, meeting minutes, room setup, meeting reminders, and material preparation.
Assists with the Whiddon College of Medicine Liaison Committee on Medical Education (LCME) re-accreditation process by gathering necessary documentation, supporting the steering committee and other LCME-related subcommittees, and managing related communications.
Assists with University of South Alabama SACSCOC accreditation as needed.
Performs secretarial duties, including calendar management, arranging appointments and travel, distributing mail, and drafting responses to inquiries.
Professionally interact with administrators, accreditors, and external contacts via telephone, email, and in-person meetings, while drafting and editing correspondence and reports as needed.
Assists in planning and coordinating special events, including scheduling logistics for student events, ordering food, and managing invitations and materials.
Takes minutes at various meetings, including CQI and Accreditation Steering Committees and prepare final copies for distribution.
Handles room scheduling and catering for meetings and events.
Maintains and updates office files, prepares reports, and enters/cleans up data in Excel spreadsheets.
Creates and manages surveys in Qualtrics.
Processes travel expense reports, handles office supply orders, manages purchases and reconciliations for events, and monitors the department’s budget.
Completes and submits forms to HR/Payroll such as EPAFs, Concur invoicing, and classification requests as needed.
Keeps track of departmental events, resources and calendar coordination across the office.
Regular and prompt attendance.
Ability to work schedule as defined and overtime hours as required.
Related duties as required.
