Open Systems Technologies is looking for an Administrative Assistant to work in support of the Intelligence community. The Administrative Assistant (AA) will provide the full range of support to the Sponsor's Front Office, Department Chiefs, Program Managers and a diverse foreign language instructor workforce, to include planning, coordinating and conducting facility events, projects and programs. Incumbent will provide administrative support services to Sponsor's Front Office (senior management personnel) to include management of schedules and calendars, planning of travel, handling high-level events and communications, and other administrative duties as assigned.
Responsibilities Include:
The Candidate will be responsible for managing calendars for 6 senior officers on a daily basis.
Must be able to de-conflict schedules and accommodate conflicting priorities based on established hierarchies.
The candidate must be comfortable and capable of interacting with senior level management from outside offices and groups, verbally and in writing.
The candidate will book conference rooms in preparation for meetings, coordinate schedules between management and all attendees, ensuring that all parties are available and able to attend; will follow up with attendees and confirm attendance prior to meetings; keep meeting minutes and make note of action items, provide meetings minutes to all attendees via email in a timely manner after meeting is concluded.
The candidate will assist with managing the classroom schedule and calendar for training events hosted at the office location. The candidate will be responsible for ad hoc taskings, such as updating phone cards, submitting necessary requests for granting/removing accesses/permissions for arriving/departing personnel, ensuring that office records are up to date and being aware of administrative responsibilities related to day-to-day workflow.
With some guidance, the candidate will assist with organizing quarterly All-Hands events for approximately 100 people, 2 instructor events and various other training events as needed for office staff and related contractors.
Duties will include scheduling rooms, setting up furniture, sending invitations and confirming attendance.
The AA III will coordinate travel for the principals, to include 2-3 trips per principal per year.
Required Qualifications:
Clearance: TS/SCI w FS Poly
Minimum of 2-4 years of experience in an administrative support role, preferably in a government or corporate environment.
Familiarity with calendar management and administrative processes is essential.
Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook). Experience working with Pivot Tables.
Strong organizational skills with the ability to manage multiple tasks and priorities effectively.
Excellent written and verbal communication skills.
Attention to detail and a commitment to maintaining confidentiality.
High school diploma or equivalent required; an associate degree or higher in a related field is preferred
