Greet and direct visitors, residents, and family members with a positive and professional attitude.
Answer incoming calls, handle inquiries, and direct calls to appropriate staff or departments.
Perform general administrative duties such as filing, data entry, and maintaining office supplies.
Ensure all visitors sign in and follow appropriate facility protocols (e.g., visitor badges, health screening).
Schedule appointments for residents and manage appointment reminders for medical, dental, and other healthcare-related visits.
Assist with resident check-in/check-out processes and ensure all paperwork is completed accurately.
Handle incoming and outgoing mail and packages in a timely manner .
Maintain accurate resident records and confidential information in compliance with HIPAA and other privacy regulations.
Support other departments with clerical tasks, such as coordinating meeting schedules, preparing reports, and assisting with special projects as needed.
Provide general support to administrative and clinical staff as needed.
Ensure the front office area is clean, organized, and welcoming at all times.
Qualifications:
High school diploma or equivalent required; additional administrative or healthcare-related training is a plus.
Previous receptionist or administrative experience, preferably in a healthcare or long-term care setting.
Strong communication skills, both verbal and written.
Ability to handle a high volume of phone calls and visitors with professionalism and patience.
Knowledge of basic office software (Microsoft Office Suite, email, etc.).
Excellent organizational skills with the ability to prioritize tasks effectively.
Ability to maintain confidentiality and handle sensitive information with discretion.
Compassionate, friendly, and customer-service oriented.
Ability to work in a fast-paced environment while maintaining a calm and professional demeanor.
Bilingual (English/Spanish) is a plus but not required .
Physical Requirements:
Ability to sit, stand, and walk for extended periods.
Occasional lifting of up to 25 pounds (e.g., mail, office supplies).
Comfortable working in a healthcare environment with frequent interactions with residents, families, and staff.
