Job Summary
This position will provide administrative, financial, and management support for Cancer Center at Illinois administration and its research and educational functions. This position will work with internal campus committees and programs under the CCIL umbrella, as well as external stakeholders which include Carle Foundation, OSF Healthcare and various other CCIL external partners. The Office Manager will be the point of contact for faculty and researchers related to coordination of CCIL activities, events, and functions.
Duties & Responsibilities
Coordinate, manage and facilitate Program meetings and sub-committee meetings for the CCIL, including the CCIL Education Program Operations staff. This involves coordinating all communications, meetings, events, logistics, notifications, etc. of meetings, programs, and events and workshops. Maintain attendance records, minutes, etc. of such activities.
Respond to inquiries requiring the interpretation, explanation or justification of administrative and/or programmatic policies and procedures
Develop and manage financial information in consultation with CCIL directors and staff. This includes but is not limited to budget prep for the individual CCIL projects, purchasing and requisitions through Banner, iBuy, Pcard transactions, and the Chrome River system for all CCIL project related travel as well as individual reimbursements.
Provide administrative support for CCIL Advancement and CCIL administrative leadership to facilitate the organization of travel, meetings, conferences, and events.
Serve as the resource person for staff of external units 5%
Perform other related duties as assigned 5%
Minimum Qualifications
High school diploma or equivalent.
Two (2) years (24 months) of work experience comparable to the third level of this series.
Knowledge, Skills and Abilities
Knowledge of and ability to interpret university policies.
Knowledge of university chain of command for administrative resources and services at all levels.
Ability to work effectively with faculty, staff, and the public.
Ability to work independently.
Ability to communicate clearly and effectively with a diverse range of people.
Ability to utilize basic software programs including MS Outlook, MS Teams, MS Word, MS Excel, MS PowerPoint, Adobe.
Ability to utilize university systems including but not limited to Chrome River and iBuy.
Ability to multitask.
Appointment Information
This is a 100% full-time Civil Service 3266 - Office Manager position, appointed on a 12-month basis. The expected start date is as soon as possible after the close date. The collective bargaining agreement sets an entry level salary of $44,267.08.
