Job Description: Bright Sighted is looking for an organized, self-starter to work as an executive assistant to the founder. Your role will be vital in supporting and collaborating with the founder and ensuring the efficient operation of Bright Sighted Media and Bright Sighted Studios. This position requires excellent organizational skills, interpersonal skills, attention to detail, and the ability to prioritize tasks effectively.
This is a contractor role, which offers increased flexibility and autonomy while still allowing you to provide valuable support to Bright Sighted's founder as an executive assistant.
Here's an overview of what your responsibilities might include:
20 hours a week
1. Calendar Management: You'll manage the founder's schedule, including scheduling meetings, appointments, and events and ensuring no conflicts.
2. Email Correspondence: You'll handle and prioritize emails, draft responses on behalf of the founder, and manage their inbox efficiently.
3. Meeting Support: You'll assist with meeting preparations, including creating agendas, gathering materials, and taking meeting minutes when necessary.
4. Communication: Liaison between the founder and other team members, clients, and external partners, ensuring effective communication channels.
5. Project Coordination: Assisting with various projects as needed, including research, data analysis, and coordination of tasks and deadlines.
6. Production Assistance: Jumping in to assist in the production process of a recording. This could include: running teleprompter, setting up the studio, carrying production equipment, monitoring a remote recording, taking notes in our workspace tools.
7. Administrative Tasks: Handling administrative tasks such as filing, expense tracking, and managing office supplies, inputting data into spreadsheets, helping manage client relationships.
8. Event Planning: Assisting in the planning and executing of company events, such as workshops, conferences, or networking events.
9. Travel Arrangements: Making travel arrangements for the founder, including booking flights, hotels, and transportation, and preparing detailed itineraries.
10. Confidentiality: Maintaining strict confidentiality regarding sensitive company information and personal matters related to the founder.
11. Adaptability: Being flexible and able to handle various tasks and responsibilities as they arise in a fast-paced environment.
12. Independent Contractor Agreement: You would enter into a formal agreement with Bright Sighted outlining the terms of your engagement as a contractor. This agreement would specify details such as your responsibilities, compensation structure, duration of the contract, and any confidentiality or non-disclosure clauses.
13. Flexible Hours: As a contractor, you would have more flexibility in determining your work hours and schedule. You would agree on the number of hours or specific tasks to be completed within a given timeframe rather than adhering to a fixed, part-time schedule.
14. Remote Work: Depending on the nature of the work and the preferences of the founder, you may have the option to work remotely, allowing you to perform your duties from anywhere with an internet connection.
15. Billing and Invoicing: Instead of receiving a regular salary, you would bill Bright Sighted for hours worked or completed tasks based on the terms outlined in your contract. You would then invoice the company for payment according to the agreed-upon schedule.
16. Tax and Insurance Responsibilities: As an independent contractor, you would manage your taxes and insurance coverage, including any applicable self-employment taxes and liability insurance.
17. Professional Development: As a contractor, you would have the opportunity to develop your skills and expertise in executive assistance and related areas, potentially taking on additional clients or projects outside of your work with Bright Sighted.
