Position Overview
The Executive Assistant will provide proactive, high-level administrative support to the senior leadership team of CCI, playing a critical role in ensuring smooth day-to-day operations. This role requires exceptional organizational skills, attention to detail, and the ability to thrive in a dynamic environment. By managing schedules, coordinating meetings, arranging travel, preparing agendas, and assisting with special projects, you'll empower executives to focus on advancing the organization's strategic goals.

What You'll Do
Executive Administrative Support
Partner with senior leadership to provide comprehensive administrative assistance, anticipating needs and delivering solutions efficiently and confidentially.
Organize and manage complex schedules and calendars; coordinate appointments, meetings, and events to maximize productivity.
Arrange and oversee travel logistics, including flights, accommodations, and ground transportation.
Prepare and manage expense reports and reimbursement processes in compliance with organizational policies.
Executive Office Support
Handle and safeguard sensitive documents while preparing agendas, presentations, spreadsheets, and contracts, ensuring accuracy and alignment with leadership's vision.
Work with senior leadership to plan and manage executive and Board meetings as well as special meetings onsite and offsite, by confirming location, catering, guests, agendas, materials, activities, etc.
Take and disseminate clear, actionable meeting minutes; track follow-up items to ensure timely resolution.
Support document management processes, including version control and secure archiving.
Assist in maintaining strong relationships with executive contacts by tracking communications and follow-ups.
Cross-Departmental Activities
Collaborate on organizational initiatives, including retreat planning, internal task forces, and special projects.
Identify opportunities to streamline workflows, improve efficiency, and enhance productivity across teams.
Tackle urgent matters, resolve issues independently, and make informed decisions in executives' absence.
Support a workplace culture rooted in respect, learning, inclusion, and equity.
What You Bring
Key Skills & Competencies
Proven experience managing multiple priorities, complex schedules, and fast-paced workflows.
Strong ability to anticipate needs, problem-solve autonomously, and respond to shifting priorities.
Exceptional attention to detail and commitment to accuracy, particularly with sensitive information.
Proficiency in workplace technology, including Microsoft Office Suite and tools such as Airbase, SharePoint, and Salesforce (or similar platforms).
Excellent written and verbal communication skills, with a professional and inclusive tone.
Collaborative mindset, with the ability to engage effectively across diverse teams and stakeholders.

Education & Experience
Bachelor's degree or equivalent experience.
5-7 years of experience in executive-level administrative support.
Experience in a nonprofit or mission-driven organization is a plus but not required.
