IT Project Manager

Our client seeking an IT Project Manager to advance system roadmaps for information systems used to support life-changing research. This role is responsible for managing a multi-year project to implement an enterprise research administration system. It involves implementing a new SaaS system used by the client's researchers to coordinate essential elements of pre-clinical lab-based research. The role includes coordinating with the vendor's project manager to implement the tool and working with stakeholders to identify and address critical requirements outside the scope of the SaaS solution. Additionally, the IT Project Manager will partner with the business unit to facilitate outreach, communication, and training for staff and research faculty.

Job Responsibilities

Project Management & Support (80%)

Manage and inspire a diverse project team in a primarily virtual/remote work environment, including on-campus engagements for tours, job shadowing, and in-person meetings.

Leverage expertise from other ERP implementations to address technical, resource, and business challenges.

Collaborate with the business owner and ORIS/Research Systems Support Manager to define the system scope and objectives, manage the project plan (in alignment with the vendor's plan), and maintain all key project management artifacts.

Work with clients (research administration subject matter experts and extended project teams) to compare current and future-state business processes, aligning technology solutions and change management efforts with business strategies.

Serve as the client-side project manager, planning system implementation collaboratively with the vendor PM, advocating for stakeholder needs, managing tasks and risks, ensuring quality assurance, communicating to stakeholders, updating the project budget, and applying continuous improvement practices.

Guide the team in documenting detailed functional and technical system specifications.

Ensure reporting requirements for operational and analytical needs are met in collaboration with the vendor, business units, and ORIS Data Services team.

Develop strategies to address reporting gaps between vendor-delivered tools and reporting requirements and ensure timely access to critical data from legacy systems.

Lead efforts to provide technical training and guidance to support staff.

Ensure excellent customer service by gathering user feedback, identifying training needs, improving communication, and incorporating continuous improvement practices.

Ensure compliance with regulation- and policy-driven requirements.

Develop a working knowledge of client business units, enterprise research technology systems, and broader technology infrastructure.

Production Support (20%)

Assist the RSS manager in preparing for the transition to operations post-go-live.

Support quality assurance efforts, including test plan development, maintenance, execution, and results documentation.

Oversee the retirement of historical systems.

Coordinate with ORIS managers to identify SaaS solution gaps and implement resolutions.

Collaborate with business analysts, developers, and the vendor to evaluate recurring issues and recommend process improvements.

Communicate technical issues in a clear and understandable manner to staff, faculty, and administrators at all levels.

Required Qualifications

BA/BS with at least four years of experience in IT Project Management, or a master's degree with at least two years of relevant experience.

Proven experience managing IT projects related to implementations, operations, and upgrades.

Familiarity with the software development lifecycle, including Agile methodologies.

Proficiency in business analysis, functional/technical requirements gathering, process mapping, quality assurance, and change management.

Preferred Qualifications

Project Management certification (PMP or equivalent).

Experience with commercial SaaS software implementations.

Leadership experience on multi-year ERP projects exceeding $2M.

Background in research, sponsored projects, and/or higher education.

Experience handling data regulated by federal, state, or local laws, policies, or agreements.

Knowledge of application UI/UX, database querying, and/or data analysis.

Quality assurance experience, including developing and executing test scripts (manual or automated).

Familiarity with waterfall, Agile, and/or Scaled Agile methodologies.
