Overview:

The XLERATE Rater/Import Operator is responsible for efficiently managing and processing rates, costs, and import operations. This role supports both XLERATE Rating Specialist and XLERATE Import Operator duties, ensuring the accurate and timely handling of shipments and documentation. The ideal candidate will demonstrate strong organizational skills, attention to detail, and the ability to work in a fast-paced, team-oriented environment.

Essential Duties and Responsibilities:

Rating Specialist:
  • Rate Management: Review agent and customer rate sheets, XLERATE calculators, customer quotations, door delivery quotes, and routing orders. Manually enter accurate rates and billing details for each House Bill of Lading (HBL).
  • Vendor Cost Entry: Input vendor costs based on vendor agreements during the rating process.
  • Rate Accuracy: Collaborate with the Import Pricing team to resolve discrepancies in rates within Topaz.
  • Documentation Review: Check proformas, debit/credit notes for accuracy, and enter missing costs and charges.
  • Cost Comparison: Compare container drayage and devan costs in Topaz with agreed rates from the Container Freight Station (CFS).
  • Transshipment Handling: Rate and redirect transshipment cargo to the appropriate air or ocean teams for transloading.
  • Discrepancy Communication: Report inaccuracies in debit/credit notes or other documentation to the agent for follow-up and correction.
  • P&L Review: Monitor and assess overall Profit & Loss (P&L) for potential inaccuracies or losses.
  • Invoice Allocation: Distribute trucking/IPI invoices across multiple HBLs within a single truckload.
  • Rate & Cost Revisions: Process rate corrections and cost revisions as needed.
  • Vendor Rate Resolution: Resolve rate discrepancies with vendors if invoices do not match agreed rates.
  • CFS Documentation: Prepare and send instructions and documentation to the CFS.
  • Inventory Reports: Prepare and maintain inventory reports for tracking purposes.

Import Operator:
  • Customer Interaction: Answer phone calls from customers/vendors and respond to emails within 2 hours.
  • File Management: Open files and provide required documents to the HBL data entry team.
  • Arrival Notice Management: Revise arrival notices as needed.
  • Payment Processing: Issue payments to steamships and CFS; ensure timely payment of pier passes and clean truck fees.
  • Issue Resolution: Address AMS/ISF issues and manage container/HBL tracking.
  • Outturn and Freight Processing: Process outturns and freight releases.
  • Customer Payments: Manage customer payments efficiently.
  • Trucker Quotes: Obtain weekly load quotes from truckers.
  • Load Planning: Prepare load plans with a focus on efficiency and cost-effectiveness.
  • Cargo Dispatch: Dispatch XLERATE cargo to truckers and LTL vendors, ensuring on-time recovery.
  • Local Visits: Occasional local visits to customers or vendors may be required.

Qualifications:
  • Attention to Detail: Ensure accuracy in all tasks, from rate entry to invoicing and documentation.

  • Documentation Interpretation: Ability to read, analyze, and interpret general industry documentation.
  • Effective Communication: Ability to present information and respond to queries from managers, departments, and colleagues.

Education & Experience:
  • Industry Experience: Prior experience in NVOCC (Non-Vessel Operating Common Carrier) or Freight Forwarding is preferred.
  • Educational Background: High school diploma or equivalent.
  • Language Skills: Proficient in English, both written and verbal.
