Employee Benefits Assistant
Job Summary:
The Employee Benefits Assistant will provide comprehensive administrative support to the Group Benefits team, specifically focusing on employee benefits administration. This role involves managing communication, documentation, and data entry related to employee benefits programs while ensuring compliance with company policies and legal regulations.
Responsibilities:
Administrative Support:
Assist in the administration of employee benefits programs, including health insurance, retirement plans, and wellness initiatives.
Maintain and update employee benefits records and databases.
Prepare and distribute benefit enrollment materials and communication.
Compare and review monthly benefits invoices to ensure billing accuracy.
Data Management:
Process new hire benefit enrollments, changes, leave of absences and terminations.
Ensure accurate data entry into HRIS and benefits systems.
Generate and analyze reports related to employee benefits metrics.
Conduct audits to ensure eligibility classes, dependent statuses and volumes are accurate.
Communication:
Serve as a point of contact for employee inquiries regarding benefits.
Coordinate and schedule benefits information sessions and open enrollment events.
Collaborate with vendors and external partners for benefits administration.
Compliance and Documentation:
Assist in maintaining compliance with federal and state regulations regarding employee benefits.
Prepare necessary documentation for audits and regulatory requirements.
Keep abreast of changes in benefits legislation and assist in implementing updates as needed.
Team Support:
Provide general administrative support to the Benefits team, including scheduling meetings, taking minutes, and preparing materials.
Assist with special projects and initiatives as assigned by HR management.
Qualifications:
High School Diploma; Associate's or Bachelor's Degree in Human Resources, Business Administration, or related field preferred
Previous experience in an administrative role within Employee Benefits
Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and HRIS software
Strong organizational skills with attention to detail and accuracy
Excellent communication skills, both written and verbal.
Ability to handle confidential information with discretion and professionalism
Willingness to work extra hours during peak enrollment periods
Hours: Monday-Friday, 8:00am-5:00pm (Hybrid Work Schedule)
