Wells Fargo is seeking an Executive Specialist in the Commercial Bank. This role will support the Head of Specialized Industries, one of the five client facing businesses within the Commercial Bank. You will be responsible for calendar management, expense report processing, travel logistics, meeting routines to include senior leader meeting offsite management, and execution on other administrative tasks specific to the Executive Vice President's role. #commercialbank
In this role, you will:
Perform complex calendar management for an Executive Vice President with effective pro-active scheduling of meetings and activities as required with attention to detail and anticipation for change.
Perform proactive mailbox management for Executive Vice President ensuring all actions are tracked and followed up on in a timely manner while ensuring confidentiality.
Ensure the executive leader is well prepared for meetings and is up to date on their committee/ board approvals, as well as liaising with teams to ensure presentations are prepared in advance.
Manage, create, distribute agendas, reports, and meeting documents, and confirm logistics for Specialized Industries meeting routines; take and distribute meeting minutes as required in partnership with business management team.
Perform travel bookings using online Concur travel booking tool, ensuring adherence to corporate travel policy. Where appliable, provide oversight of these tasks performed by the broader admin team.
Perform processing & submission of monthly expenses, always ensuring adherence to policy. Where appliable, provide oversight of these tasks performed by the broader admin team.
Provide administrative assistance on projects, meeting preparation as needed while collaborating and consulting with peers, colleagues, and more experienced managers to resolve issues and achieve goals.
Co-ordinate visitor schedules, reception, and access requests.
Answer all direct phone calls, visitors, and other internal team members; coordinating and supporting meeting setup and execution.
Perform proxy role for various systems and internal approvals (examples: Workday, Concur, eprocurement)
Appropriately review and escalate customer issues or initiatives that require planning, evaluation, and interpretation directed to executives.
Exercise strong judgment and ensure utmost confidentiality in execution of direction from the executive business leader.
Develop and maintain knowledge of the Commercial Banking business, policies, procedures, and compliance requirements.
Required Qualifications:
2+ years of Executive Administration experience, or equivalent demonstrated through one or a combination of the following: work experience, training, military experience, education
Desired Qualifications:
Advanced Microsoft Office (Outlook, Excel, Word, PowerPoint, LiveMeeting, Teams, and SharePoint) skills
Ability to manage changing travel itineraries, accurately manage expense reimbursement, manage a busy calendar and appointments.
Knowledge and understanding of intricate domestic and international travel planning.
Ability to communicate effectively, in both written and verbal formats, with senior executive-level leaders.
Ability to prioritize work, meet deadlines, achieve goals, and work under pressure in a dynamic and complex environment.
Acts to maintain a reputation of partnership, teamwork, results-orientation, and professionalism.
Strong attention to detail and accuracy skills.
Ability to work effectively in a team environment and across all organizational levels, where flexibility, collaboration, and adaptability are important.
Experience working with other internal Executive Admins in a large enterprise environment.
Experience supporting external and internal facing partners such as regulators and senior executives.
Job Expectations:
Position is based in the Charlotte office and requires 5 days in office during standard business hours
Flexibility to work in a 24/7 environment, including weekends and holidays.
