Job Summary

Regulatory Services Specialist is responsible for facilitating the operational success of all mission-related Regulatory activities. Ensure services are professionally arranged in a timely manner in accordance with all applicable policies, procedures, regulations and client preferences by collaborating closely with governing bodies, external vendors, service providers, internal team members and other departments. Coordinate directly with Universal’s clients on all aspects of their regulatory needs; capture these needs and develop them into a functioning plan to facilitate requirements. Advisor serves as liaison between TSS clients and worldwide agencies to ensure compliance of regulatory requirements. Perform other duties as assigned to ensure the successful completion of client missions.

Essential Duties and Responsibilities

  1. Communicate directly with clients to process regulatory requirements under minimal supervision.
  2. Provide clients with current and accurate regulatory information during all aspects of the tripload process.
  3. Disseminate regulatory service requests to governing bodies, vendors and other service providers as documented in the trip write-up process and indicated in proprietary mission support system.
  4. Communicate directly with governing bodies, vendors and other service providers to complete service confirmations for requested regulatory products and services as documented in the trip write-up process and indicated in proprietary mission support system.
  5. Collaborate with internal Universal departments and worldwide governing officials to ensure compliance with all regulatory requirements related to trip schedules, destinations, traveler requirements, aircraft specifications, and all other pertinent factors.
  6. Perform specialized regulatory services directly on the customer’s behalf.
  7. Monitor mission support system to ensure all regulatory details are completed and all services are acknowledged and confirmed according to required leadtimes, curfews, operating hours and other time driven factors.
  8. Check messages and requests before transmission and thoroughly review each folder upon completion of the assigned task to ensure accuracy; maintain high level of quality as defined by regulatory entities (“Governing Bodies”), company policies and procedures, and best practices.
  9. Identify issues and work with peers and management; assist in development of solutions to improve quality of service.
  10. Complete other duties and projects as assigned.

Qualifications and Requirements

  • Minimum of five (05) years of work experience; experience in aviation or another highly regulated industry a plus.
  • Completion of high school, vocational school or equivalent; some college or equivalent military experience required.
  • Bilingual in Spanish with the ability to speak, read, and write is preferred
  • Familiarity with Department of Homeland Security, international travel rules, regulations and restrictions desired.
  • Must be proficient and capable of working in a computerized office environment including knowledge and skill in Microsoft Office Suite
  • Ability to navigate multiple databases simultaneously to provide services to clients in a timely and efficient manner
  • Excellent interpersonal skills and customer service skills.
  • Ability to proactively lead conversations and gather information to ensure client satisfaction.
  • Ability to work under pressure and prioritize actions according to deadlines and changing environment.
  • Ability to use a multi-line telephone to include, but not limited to placing calls on hold, transferring calls, and setting up conference calls.
  • Ability to apply military time using 24-hour clock.
  • General knowledge of geography and the ability to determine how it relates to travel.
  • Ability to apply attention to detail to ensure accuracy of data entered into proprietary trip support system
  • Can effectively cope with change; can shift gears comfortably; can decide and act without having the total picture; isn't upset when things are up in the air; doesn't have to finish things before moving on; can comfortably handle risk and uncertainty
  • Active listening skills to clearly understand client requests and ability to apply knowledge to ascertain, and anticipate, client needs in a proactive manner
  • Ability to apply basic math skills to accurately calculate flight schedules

Other Information

  • Hybrid work from home / typical office in open floor plan with cubicles in a team-based call center environment; must have ability and willingness to do both or either, depending on shift demands, including having reliable connectivity to remote office.
  • Must be capable of working rotating shifts in a 24/7, 365 days a year operation.
