Experience Req: Required - Five (5) years of progressive administrative experience is required.
Preferred -Experience assisting and supporting chief executives (C-level staff) is highly preferred.
Certification Req: Business Office Administration certificate, Certified Administrative Professional (CAP) or;

Position Summary: The Office Administrator at National Emergency Management and Response (National EMR) provides comprehensive administrative support to company leadership, including the President. Key responsibilities include managing contracts and schedules, handling executive documents, organizing meetings and travel, overseeing financial administrative tasks, and ensuring efficient office operations. This role also involves interacting with visitors, managing office supplies, conducting research, and supporting emergency management and deployment operations as needed. The position requires strong organizational, communication, and proofreading skills, with the ability to adapt to a dynamic environment and contribute to emergency response efforts. Responsibilities and Duties:
1. Assist President with maintenance of contracts, deliverable schedule, and contract filing ensuring standard naming convention, security, and permission sets.
2. Provide administrative support for company leadership including but not limited to, producing final drafts of minutes, manuals, rosters, presentations, grant requests, and miscellaneous executive documents.
3. Proofread any copy/documents for spelling, grammar, and layout to ensure clarity, brand consistency, and accuracy.
4. Answer phone and direct calls, maintain calendars, schedule meetings, reserve rooms and conference bridges, coordinate meeting travel and logistics, and attend and record meetings for division leadership.
5. Monitor facility gate, front door, visitor logs, badging and access always ensure safety.
6. Provide financial administrative assistance for invoicing, requisitions, and expense reports within 24 hours of receipt.
7. Maintain uniform and supply store logins, credits, resets, and other questions from PRN and FTE staff utilizing systems and processes.
8. Assist with badging responsibilities including printing of response badges, monitoring building access and assigning/collecting badges to personnel.:
9. Perform thorough research as directed by leadership, collect relevant background information, and prepare detailed executive summaries and reports.
10. Act as the primary representative of National Emergency Management and Response by warmly welcoming all guests and delivering exceptional customer service to everyone who enters Maintain inventory of and order office supplies as needed, monitoring par levels and cross-referencing with upcoming events and budget allocations.
11. Other duties as assigned.
Requirements:
1. Typing speed of 70 WPM.
2. Impeccable editing and proofreading abilities.
3. Maintain emotional control and professional composure.
4. Ability to organize and prioritize duties and responsibilities in a fast-paced environment.
5. Willingness to take on new projects and initiatives to support leadership.
6. Comply with all HIPAA standards and confidentiality expectations.
7. Must complete required ICS courses within 3 months of hire.
8. Demonstrate the ability to:
a. Respond sensitively and competently to the service population's cultural and socio-economic characteristics.
b. Communicate effectively, verbally and in written form, in English and Spanish (preferred).
c. Maintain intermediate to advanced computer literacy (specifically Microsoft Suite).
d. Perform physical activity such as extensive walking, stretching, bending, and occasionally lifting and/or exceeding 50 lbs. with or without reasonable accommodations, in accordance with the Americans with Disabilities Act of 1990.
9. Everyone is an emergency manager. You may be asked to support roles and responsibilities outside your typical job description.
10. Must be available for on-call duty and may be required to work flexible hours, including nights, weekends, and holidays, to support emergency response and deployment operations.
11. Hold and maintain a valid US driver's license. Pass initial and random background checks, drug screenings, and MVR audits.
