Overview

The H&K Group, Inc. is looking for an Administrative Assistant to provide comprehensive administrative support to the contracts team, including handling communication with clients and vendors, maintaining project documents, preparing state pre-qualifications, processing agreements, and providing back-up for all positions in the Department. The ideal candidate is analytical, organized, detail oriented, and has strong business acumen, customer service, and teamwork skills.

Responsibilities

Essential Duties and Responsibilities

  • Perform all work according to OSHA/MSHA and H&K Safety policies
  • Review subcontracts per company policy
  • Gather documents requested by customer to send back with the contract (e., safety plans, Hazardous Communication Plans, insurance certificates, bonds, list of suppliers/sub-subcontractors, licenses, etc.)
  • Obtain documents referenced in contract but not provided to us (e., owner contract, any supplementary/special conditions, any bonds posted on the project, etc.)
  • Obtain insurance certificates from our agent per the contract requirements
  • Process change orders, proposals, subcontracts, subcontract amendments, purchase orders, rental agreements, materials agreements, etc.
  • Process contractor prequalification applications
  • Use of “Project DocControl”, “Kahua”, "CMiC" and “Eclipse”:
    • Scan copies into job folder and link all outgoing documents
    • Help keep each division up to date on status of contracts
    • E-mail Estimators/Project Managers when documents are sent out so that they can print copies for their file
    • Upon receipt of Subcontracts, have an officer sign them and then scan the Subcontract into the job folder and link document to Project DocControl/Kahua/Eclipse
  • Forward all billing documents in contract-to-contract billing (e., waiver & releases, etc.)
  • Review insurance certificates from our subcontractors for compliance
  • Responsible for confidentiality of contract information
  • Balances team and individual responsibilities
  • Other duties as assigned


Qualifications



Required Skills, Education, and Experience

  • High school diploma or equivalent (such as a GED) from an accredited educational institution with two years of paralegal and administrative experience
    • Equivalent combinations of education and experience may be considered
  • Proficient in Microsoft Office Suite (Outlook, Word, Excel)
  • Strong Written and Verbal communication skills
  • Demonstrated attention to detail and ability to meet deadlines
  • Demonstrated customer service skills and ability to interact professionally with various levels of employees and outside representatives
  • Demonstrated ability to work in a fast-paced environment and adjust to changing priorities
  • Ability to fit test & utilize appropriate PPE as needed
  • Ability to meet physical requirements (movement, lifting, as relevant to job)

Preferred Skills, Education, and Experience

  • Paralegal experience in corporate and contract law
  • Paralegal certification
  • Bachelor’s degree from an accredited four-year college or university in a relevant field
  • Experience with contracts or administration in heavy civil/highway construction, surface mining/quarries, or other heavy industry such as asphalt and concrete manufacturing

Work Environment

  • Noise level is usually moderate
  • Hours sometimes exceed 40 in a week
