Job Summary The Division of Infectious Diseases is seeking a Staff Assistant to join our team 5-10 hours/week for 3-6 months. The incumbent will be essential to improving equity of administrative and operational support available to physicians in the Divisions. Qualifications
Primary duties:
Provide administrative support to a group of physicians including word processing, editing, filing, printing/compiling documents, including but not limited to:
Licensing, re-credentialing, HMS CV updates, HMS promotion paperwork
Submissions for MOC/CME
Respond within 24 hours to multiple and varied requests from a group of physicians, including organizing licensing and appointment records, proofreading correspondence and other documents, printing materials
Work can be completed over 1-2 weeks, depending on the request, but responding promptly with availability is essential
Assist with all administrative aspects of select recurring meetings and symposia; activities may include securing meeting space, managing invitation lists, preparing materials for distribution, ordering meals and refreshments, scheduling travel, and booking hotel
Assist with coordination of Division events, including drafting agendas, maintaining guest lists, securing meeting space, coordinating internet and phone conferencing, and managing logistics
Submit, track, and file check requests and expense reimbursements with attention to not just accuracy and timeliness, but also adherence to Partners' and sponsor guidelines
Assist with recruiting efforts including pulling, printing, and organizing application materials
Assist with updating and maintaining website(s) and/or Twitter or other social media platforms
Proofreading and submission of manuscripts; use of Endnote, Zotero, or other reference managers
Coordinating clinic schedules around vacations and meetings
Assist with PowerPoint slides, literature searches, and preparation of other educational materials

Minimum Qualifications:
Associate's Degree and at least two years of relevant experience or Bachelor's Degree
Strong working knowledge of Microsoft Word, Excel, PowerPoint, and Outlook is required
Familiarity with MGB systems is preferred
