Vaco is looking for an administrative assistant to assist in the engineering department. The duties include, but are not limited to, time card entry, vacation tracking, record maintenance, data entry and retrieval, document checking and comparison, and assembling and compiling information.
Job Duties/Responsibilities:
Coordinates, schedules, and prepares for vendor, regulatory and department meetings, audits, and events.
Performs data entry and filing tasks for controlled drawings and docs, equipment inventories, safety documents and confidential employee or departmental files.
Copies, collates, and otherwise assists in the preparation of reports and other correspondence.
Manages purchase order requisitions for department contracted services.
Prepares travel arrangements for department staff.
Maintains engineering and environmental documentation including hardcopy and electronic filing systems.
Provides general support to visitors.
Provides backup coverage for the GM Admin Assistant.
Performs other related duties as assigned.
Required:
Working knowledge of office equipment, like printers and copiers
Proficiency in MS Office Suite (MS Excel, MS Powerpoint, OneDrive)
Proficient in Sharepoint
Excellent time management skills and ability to prioritize work
Excellent written and verbal communication skills
Strong organizational skills with the ability to multi-task
Ability to work independently and identify and solve problems.
