SUMMARY OF RESPONSIBILITIES:

The Executive Assistant will primarily support the SVP of Marketing+Communications. This includes maintaining the SVP’s day-to-day calendar, scheduling internal and external meetings and appointments, coordinating all corresponding logistics and resolving schedule conflicts. In addition, this position will assist in preparing agendas or any supplemental documents and may include drafting initial outlines or PowerPoint presentations. The Executive Assistant will help track outstanding projects and ensure that deadlines are met. This position will manage the SVP’s external obligations including coordinating all aspects of travel – airline, lodging, and transportation. This includes managing expense report filing. This position will also pay and keep track of monthly bills for the M+C segment, as well as plan segment wide meetings. Position requires a high degree of professionalism, self-confidence, organization and confidentiality. Candidate must take initiative and be self-directed. Candidate should be proficient in computer skills and collaboration, as well as an excellent communicator.

Other duties as assigned.

REQUIREMENTS:

Associate’s degree or thorough equivalent work experience plus a minimum of six years related experience. Strong communication skills with the ability to effectively communicate and create good working relationships with customers (internal and external) in a helpful and friendly manner. Previous work experience with Executive level staff preferred. Excellent grammar, writing ability, and professional telephone manner required. Strong administrative skills including scheduling group meetings – both live and virtual – and associated documents, arranging travel itineraries, and handling correspondence. Strong computer skills including MS Office Suite (required). Candidates need to be flexible to handle multiple tasks with frequent interruptions; possess strong organizational skills and attention to detail; have strong interpersonal and professional customer service skills.
