Position Overview

At Hutch Design + Build and our sister company, Hutch Home Co., we create thoughtfully designed spaces that inspire. We're looking for a highly organized and proactive Executive Assistant to support our leadership team and ensure seamless daily operations across both brands, with a focus on the Hutch Design+Build day to day operation. This role requires exceptional attention to detail, strong communication skills, and the ability to manage multiple priorities in a dynamic, high-growth environment.

The ideal candidate is a strategic thinker with a passion for organization, efficiency, and problem-solving. This position plays a vital role in maintaining operational flow, managing executive schedules, coordinating key initiatives, and supporting business operations. As an integral part of our leadership support structure, you will help drive our mission forward by ensuring our team can focus on what they do best-leading and growing our brands.

Key Responsibilities

Executive Support
  • Manage complex emails, calendars, schedule meetings, and coordinate appointments for executive leadership across Hutch Design + Build.
  • Prepare agendas, document meetings, and track action items to ensure alignment and follow-through.
  • Handle confidential correspondence, draft communications, and facilitate follow-ups on behalf of executives.
  • Proactively anticipate leadership needs and provide administrative support to maximize efficiency.

Operational Coordination & Office Administration
  • Maintain organization and workflow across leadership priorities, ensuring smooth daily operations.
  • Oversee office logistics, vendor coordination, and workspace functionality.
  • Assist in onboarding new employees, setting up accounts, and managing team resources.
  • Support leadership in tracking project timelines, business initiatives, and key operational deliverables.
  • Organize internal meetings, team gatherings, and company events to foster a strong culture.

Communication & Project Coordination
  • Serve as a key liaison between leadership, internal teams, and clients in design and pre-construction.
  • Draft, proofread, and format marketing items, communications, and high-level documents.
  • Maintain and organize company records, policies, and operational documentation.
  • Coordinate cross-functional communication, ensuring timely information flow between leadership, teams and clients.
  • Assist in managing special projects that align with company growth and strategic initiatives.

Process Optimization & Strategic Support
  • Identify opportunities for operational efficiencies and implement process improvements.
  • Support financial administration, including tracking expenses, processing invoices, ensuring timely receipt submission by team, and coordination with bookkeeping firm.
  • Help drive strategic initiatives by coordinating tasks, timelines, and deliverables across both brands.

Qualifications & Skills
  • 5+ years of experience in an executive assistant, administrative, or operations role, preferably in a high-growth company.
  • Bachelor's degree in business administration, communications, or a related field preferred.
  • Exceptional organizational and time management skills, with the ability to multitask and prioritize effectively.
  • Strong written and verbal communication skills, with an acute attention to detail.
  • High level of professionalism, discretion, and confidentiality in handling sensitive information.
  • Proficiency in Microsoft Office Suite (Excel, Word, PowerPoint), Google Workspace, and project management tools (Monday.com, Slack, or similar).
  • Ability to problem-solve independently, anticipate leadership needs, and adapt to changing priorities.
  • Strong relationship-building skills and a team-oriented mindset.
  • Experience working in a design-build, construction, or home furnishings/retail environment is a plus.
