Kirschbaum, Nanney, Keenan & Griffin, P.A. is a reputable small to mid-size law firm dedicated to providing high-quality legal services to individuals and businesses. We are seeking a skilled, organized, and proactive Office Manager to join our team. The ideal candidate will have strong QuickBooks and billing experience, excellent organizational skills, and the ability to manage certain day-to-day operations of the office.

Salary commensurate with experience.

Position Overview

As the Office Manager, you will be responsible for overseeing the various functions of the law firm, ensuring smooth office operations, and managing the billing and accounting systems.

Key Responsibilities
  • Manage accounts payable and receivable through QuickBooks.
  • Coordinate and maintain billing and invoicing procedures, ensuring timely and accurate billing for clients.
  • Assist with certain HR-related administrative tasks.
  • Prepare and maintain financial reports for partner review.
  • Organize and maintain office supplies and equipment.
  • Liaise with vendors, clients, and external parties as needed.
  • Assist with office events, employee onboarding, and other office-related activities.

Qualifications
  • Minimum of 5 years of experience as an Office Manager or in a similar administrative role, preferably within a law firm or legal environment.
  • Proficiency in QuickBooks (required).
  • Strong knowledge of billing, invoicing, and financial reporting practices.
  • Excellent organizational and time management skills with a keen attention to detail.
  • Ability to work independently and manage multiple tasks simultaneously.
  • Strong written and verbal communication skills.
  • Proficient in Microsoft Office Suite (Word, Excel, Outlook).
  • Familiarity with legal billing systems such as TimeSlips (preferred).
  • High school diploma required; college degree preferred.
