Our esteemed law firm is seeking a highly skilled and motivated Intellectual Property (IP) Billing Specialist to support the complex billing needs of our global IP practice. Qualifications
Bachelors Degree in Accounting or Finance
8+ years' experience in billing for a global intellectual property practice.
Deep understanding of client fee structures, including fixed fees, demand billing, and alternative fee arrangements (AFAs).
Knowledge of foreign associate billing and international IP transactions.
MS Office Advanced Excel, ADERANT required
Paperless prebill, tymetrix, Serengeti preferred
Exceptional attention to detail to ensure billing accuracy.
Excellent analytical skills to identify trends and improve billing processes.
Experience in IP billing at a global law firm or multinational corporation.
Knowledge of international billing practices and foreign currency considerations.
Familiarity with intellectual property law and industry standards.
Job Duties:
Prepare and provide accurate cost estimates for IP-related services, aligning with client billing structures.
Develop and maintain clear, consistent billing estimates for various IP matters, including patents and trademarks.
Address client, foreign associate, and vendor inquiries regarding billing, invoices, and payment status.
Process third-party payments arising from settlement agreements promptly and accurately.
Review and code incoming invoices from foreign associates for compliance with firm policies.
Pre-Bill Review and Compliance:
Conduct comprehensive reviews of pre-bills (700+ matters) to ensure accuracy, compliance with client-specific requirements, and adherence to firm policies.
Collaborate with attorneys to establish appropriate fee arrangements for billing.
Perform billing analyses to identify trends, discrepancies, and operational improvement opportunities.
Implement solutions to streamline workflows and enhance efficiency.
Assist in developing and executing on-demand billing processes for international clients.
Document and enforce client-specific billing requirements to align with agreed terms.
Maintain thorough records of billing guidelines, agreements, and invoicing history.
Assist attorneys in preparing, updating, and analyzing client billing agreements and alternative fee arrangements (AFAs).
Track and manage fixed-fee projects, ensuring profitability and client expectations are met.
Assist in the preparation and maintenance of rate letters, fee schedules, and other key resources for patent and trademark services.
Partner with the billing department, marketing, and business administration to resolve client billing issues.
Build strong relationships with attorneys and stakeholders, providing timely updates and resolutions to billing-related concerns.
Train attorneys and legal assistants on billing procedures, software tools, and client-specific billing requirements.
Support special projects, such as fixed-fee arrangement implementation and new billing procedure rollouts.
Respond to attorney inquiries regarding unbilled inventory, historical billing data, and payment status.
