Qualifications



RS&H is currently seeking a Document Control Specialist II to join our team in the Moving I-4 Forward Program Office in Celebration, FL.

 

 

This position oversees and maintains document controls systems and resources for engineering, procurement, and construction documentation.
This position works under limited supervision with the ability for independent decision-making and judgment for a variety of issues; problems faced typically require interpretation or deviation from standard procedures and may be complex in nature.

 

Key Responsibles:

  • Establishes, maintains, and manages the Project Management Information System (PMIS), including modules, permissions, workflows, and system components, while ensuring compliance with departmental policies and project-specific document requirements.
  • Collects and logs all contract documents and project documentation from bid phase through project completion.
  • Reviews and improves filing protocols and document management processes, recommending system enhancements to optimize efficiency and organization.
  • Ensures compliance with departmental policies and procedures, while understanding project delivery programs, including document requirements, terminology, and filing needs specific to each project stage.
  • Performs detailed analysis of large data sets using software tools like Microsoft Excel and Power BI to support data-driven decision-making.
  • Communicates with suppliers and vendors.
  • Oversees the Electronic Document Management System for tracking, retrieving, updating, and maintaining all program/project documents.
  • Ability to adopt existing filing protocol processes and recommend opportunities for system improvements.

  • Performs all other duties as assigned.

 

Requirements: 

  • High school diploma or equivalent.
  • Typically requires a minimum of 5 years relevant experience.
  • Experience with engineering, architectural, and construction documents (i.e., maps, drawings, technical specifications, etc.)
  • Advanced skills in the full Microsoft Office Suite.
  • Familiar with SharePoint and other Electronic Document Management Systems/Project Management Information Systems, preferably Procore.

  • Must possess solid organizational, problem-solving, prioritization, and communications skills. Must have the ability to effectively interact with and build relationships with others.
