Workforce Operations Specialist, Full-time, First Shift

The Workforce Operations Specialist will be facilitating the staffing management process to include; schedule development, appropriate resource allocation, payroll processing, and attendance compliance workflows.

Minimum Required: High School Diploma or GED Preferred
Associate's Degree Preferred
Payroll processing and/or Accounting courses
Minimum Required: 1 - 2 Years equivalent experience
Preferred: 3 - 5 Years equivalent experience

Perform regular audit and review of UBI employee timecards to ensure compliance with UC Health Policies for accuracy and minimum required hours worked.
Maintain and update UBI spreadsheet and prepare quarterly reports on UBI compliance and share results with department leaders for follow up and adjustments as needed.
API Payroll Processes
Review and audit employee work time records in API to ensure accuracy and compliance. Validate time records when complete.
Provide guidance, assistance, and solutions to managers, supervisors and associates with questions regarding API.
Monitor daily clocking and schedule changes for accuracy.
Troubleshoot and correct errors, issues, and other non-conforming records in API.
Prepare variance reports for leaders (email weekly) and follow up to ensure timecards are updated and correct.
Time & Attendance Tracking Process for UC Health cost centers
Perform time and attendance audits for all staff in API
Manage the reporting and tracking process for Time & Attendance - if leaders do not make requested changes, working to make updates in system
Working with Department Leadership to ensure Time & Attendance policies are followed for coaching and corrective action, including appropriate documentation for the employee's HR file.
Staffing Forecasting and Smoothing
Responsible for reviewing upcoming 6 week schedules with department leadership to ensure smoothing of staffing levels
Auditing Pay Distribution (Daily Hours)
Provide guidance, assistance, and solutions to leaders on schedule builds and maintenance process in API
Accountable to Department Directors and CSO Leadership for forecasting staffing gaps and escalating critical gaps on a weekly basis
UBI Reporting/Tracking
