Russell Tobin & Associates is seeking a talented and proactive Executive Assistant to support senior leadership at one of the most iconic global entertainment companies, known for shaping storytelling, innovation, and creativity. This hybrid role (onsite Monday-Thursday in Burbank, CA, remote on Fridays) offers a fantastic opportunity to work alongside top industry professionals in a dynamic, fast-paced environment.
Pay Rate: $26-$32/hour depending on experience
Schedule: 40 hours, hybrid in-office (Mon-Thurs) and remote (Fri)
Contract Duration: 2-month W2 assignment, potential for extension
Location: Burbank, CA
What You'll Do:
Provide high-level administrative support to two Directors, including calendar management, rolling calls, arranging complex travel, and processing expenses.
Support additional Directors with scheduling large cross-functional meetings.
Screen and prioritize communications, ensuring timely follow-ups.
Prepare meeting agendas, take minutes, and track action items.
Assist with presentation decks and materials.
Coordinate meeting logistics - booking conference rooms, arranging catering, A/V setup, and liaising with facilities teams.
Organize and maintain documents for projects and executive needs.
Manage business expenses and reporting via SAP.
Support departmental projects and team events (virtual and in-person).
Handle highly confidential information with absolute discretion.
Collaborate closely with internal departments and external partners.
Serve as a backup to other executive assistants as needed.
What We're Looking For:
2+ years of administrative experience in a corporate or entertainment environment.
Exceptional written and verbal communication skills.
Intermediate to advanced proficiency in Microsoft Outlook (calendar management a must), Excel, Word, PowerPoint, and Keynote.
Strong organizational skills, with a keen eye for detail and ability to multitask across multiple priorities.
Comfortable working under pressure with tight deadlines.
Resourceful, collaborative, and proactive - takes initiative and asks questions.
Strong interpersonal skills; able to engage with senior executives, recruiters, and administrative colleagues with professionalism and ease.
Comfortable handling sensitive information and acting with confidentiality at all times.
Bonus Points:
Prior experience supporting executives in the entertainment industry.
Familiarity with SAP for expense reporting.
Previous experience working with large enterprise or studio organizations.
