As an Executive Administrator, you will play a pivotal role in maximizing the time of the CEO and COO while promoting a positive company image. Acting as a liaison, you will maintain strong relationships between the CEO/COO, Japan HQ, and their respective executives and employees. As the right hand to the CEO/COO, you will grasp the company's strategy and ensure the smooth operation of daily business activities.
Job Responsibilities:
Gather and synthesize information from various departments, including sales, planning, general affairs, and accounting, while maintaining close communication with Japan HQ.
Create documents, occasionally requiring translation, and coordinate with other departments within the company.
Execute assigned projects, involving problem-solving, progress tracking, collaboration with multiple departments, and research.
Maintain confidentiality of sensitive information and handle it with discretion.
Assist in the preparation of presentations, reports, and other documents as required.
Prepare and organize materials for meetings, ensuring the executives are well-prepared and informed.
Perform other administrative tasks and special projects as assigned by the executives.
Ensure effective daily operations and suggest process improvements when necessary.
Qualifications:
Proven experience as an executive assistant or in a similar role, preferably in a corporate environment.
Excellent communication and interpersonal skills, with the ability to interact effectively with individuals at all levels.
Strong organizational and time management abilities, with meticulous attention to detail.
Proficiency in office software such as Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant tools.
Ability to handle multiple tasks and priorities in a fast-paced environment while maintaining a positive attitude.
Discretion and confidentiality in handling sensitive information.
Bachelor's degree or equivalent experience preferred.
Language: Japanese - Native level, English - Business level
