ADMISSIONS OPERATIONS (BL-OPER-IUBLA)



Department Information



The Office of Admissions Operations provides strategic planning and operational support for recruitment, marketing, and processing activities, local and enterprise systems, and related business processes. The department conducts research and investigation on technical tools such as those used for web architecture, programming and analysis by lead higher education institutions as well as private sectors to offer the highest level of service to potential and current students for Indiana University. The Systems Team designs, develops, and maintains custom databases and technical tools to facilitate operational processing and data analysis. The team also builds back-office and student-facing systems as interim/gap solutions until enterprise systems become available.



Job Summary



Department Specific Responsibilities


  • Provides leadership to 2 team leads within IUB Admissions Operations and assists with the prioritization and distribution of their team's work to support operational goals and timelines.

  • Assists the Director of Operations with high volume application decision releases throughout the application cycle. Shares representation on project teams both within the Office of Enrollment Management and with external campus partners.

  • Prepares regular reports and advise senior leadership regarding daily operations related to annual recruitment and application processes and data.

  • Analyzes performance of existing processes/systems and suggest improvements or enhancements that support evolving business needs. Makes use of available technologies to streamline operational work.

  • Develops, implements, and documents business process designs for admissions workflow and other processes across multiple systems. Manages user access to local systems, IUB Slate instances, and IUB documents in OnBase.

General Responsibilities


  • Provides highest level of operational leadership and coordination of assigned staff members to define application administration and support methodologies and standards; provides direction and guidance on high priority application administration projects/initiatives.

  • Establishes short-term business plans and long-term operational objectives, including managing project timelines/deliverables and developing resource plans for multi-project/multi-phase application administration and support initiatives.

  • Conducts a variety of personnel actions to include, but not limited to hiring, promotion, performance management, and dismissal.

  • Manages high level assignments and allocation of staff resources, including negotiating and coordinating initiatives that involve staff in other departments/areas/teams; may coordinate large-scale application administration and support projects with a wide audiences in support of academic initiatives.

  • Makes budgetary recommendations/proposals based on resource needs and ensures cost containment.

  • Researches and stays up-to-date on new industry business processes, standards, emerging technology, and/or best practices; responsible for the implementation of new protocols/procedures to address business needs.

  • Works collaboratively with other application administration and support leaders across departments in recommending standards, best practices, and related policies/procedures.

  • Prepares management reports and summaries for senior administration, executive, steering and advisory committees; acts as advisor to executive committees; serves on various university committees, communities of practice, and task forces related to application administration and support.

EDUCATION



Required



  • Bachelor's degree (preferably in computer science, business systems, or related field)

WORK EXPERIENCE



Required



  • 4 years customer/application support, programming, or related experience

  • 1 year of management experience

Working Conditions / Demands



This role requires the ability to effectively communicate and to operate a computer and other standard office productivity equipment. The position involves sedentary work as well as periods of time moving around an office environment and the campus. The person in this role must be able to perform the essential functions with or without an accommodation.



Additional Information



Salary Range: $84,000 - 85,000 annually



Work Location



This position is eligible for remote work, subject to change in the future based on university policy and business needs.
