Eskenazi Health serves as the public hospital division of the Health & Hospital Corporation of Marion County. Physicians provide a comprehensive range of primary and specialty care services at the 333-bed hospital and outpatient facilities both on and off of the Eskenazi Health downtown campus including at a network of Eskenazi Health Center sites located throughout Indianapolis.
Job Role Summary
Reporting directly to a Chief Level Executive and/or Senior Leadership Team Member. This position is responsible for providing senior executive level administrative support to leaders within one of these categories. The Senior Executive Assistant proactively contributes to Eskenazi Health's mission: Advocate, Care, Teach and Serve with special emphasis on the vulnerable population of Marion County; and models Eskenazi Health's values of Professionalism, Respect, Innovation, Development and Excellence.
Essential Functions and Responsibilities
A Senior Executive Assistant at Eskenazi Health will be an integral part to the support of our executive level team members. This role will provide direct administrative support that includes secretarial, administrative and support services with little or no supervision. They will be responsible for a variety of duties including, but not limited too:
Responsible for correspondence, telephone coverage, calendar maintenance, and special projects
Creates databases and prepares and manages Excel spreadsheets as requested
Attends meetings and prepares minutes as requested
Maintains electronic and paper files, including employee records
Schedules use of conference rooms
Researches, gathers, and/or compiles information as required by the executive leader
Assures travel arrangements are properly scheduled and meet the needs of those individuals traveling
Assures meeting materials are prepared and ready for review prior to meetings
Prepares error-free correspondence, which may or may not require the personal attention of the executive leader
Receives and screens inquiries (phone, mail, e-mail and in person) utilizing appropriate judgment in responding or referring to other staff or to Eskenazi Health executive
Completes projects and special assignments by establishing objectives, determining priorities, managing time, gaining cooperation of others, monitoring progress, problem-solving, and making adjustments to plans as needed
Job Requirements
A qualified candidate will have a Bachelor's degree in Business administration or related field with at least two years of office administration or related experience. In lieu of a degree, eight years directly related to administrative support experience preferably supporting at the executive level. Additionally, successful candidates will have a proven ability to handle confidential information with discretion and will have strong organizational and prioritization skills.
