A day in the life.



As our Summer Intern on the Admin team, you will:


  • Work closely with all members of the Admin team to gain knowledge of individual roles within the department and apply what is learned to assist with back up coverage throughout the summer.

  • Have a heavy focus on shadowing and learning Front Desk roles, with the opportunity to regularly provide coverage as needed in the following ways:



  • Answer multi-line telephone system and route calls appropriately

  • Greet company guests in a professional and courteous manner.

  • Monitor and route incoming faxes and Company emails/documents to appropriate parties.

  • Coordinate monthly after-hours phone coverage for Account Managers.

  • Coordinate early close and holiday closing coverage (i.e. confirm doors are locked, afterhours voicemail coverage is in place, vendors are notified).

  • Create and distribute daily Out Of Office report for Front Desk and Certs Team.

  • Log all daily deliveries and route to appropriate staff members.

  • Maintain order of shared office spaces including mail room, lobby, kitchen, and meeting rooms.

  • Regularly assess current status of office supplies in office and place orders as needed.

  • Process all overnight shipping requests.

  • Daily processing and scanning of all checks received.

  • Process regular coding of certificates of insurance.

  • Serve as in-office point person for all mailings, bonds, print jobs, and miscellaneous projects as they arise.

  • Serve as first back up for in-office mail responsibilities.

  • Serve as first back up for scanning and logging of Ag claims

  • Assist colleagues in the reservation of cubicles for in-office events.

  • Create and send colleague birthday and anniversary emails

  • Create and send quotes of the day emails to all colleagues daily

  • Update Front Desk TV slide show

  • Coordinate in-office holiday decoration installation and tear down

  • Inventory 84 Lounge beverage and snacks

  • Provide other support as needed, which includes assisting in office social functions and other assigned duties as directed by Agency management.



  • Shadow Transportation Associate Account Manager team members to gain knowledge of department functions and apply what is learned to assist regularly with backup coverage throughout the summer.

  • Assist with various projects and duties across the Agency as directed.

We'd love to meet you if your professional track record includes these skills:


  • Reading, writing, and mathematical skills that would normally be acquired through the acquisition of a high school diploma.

  • This individual must have a strong knowledge of general business software such as Microsoft Office Word, Excel, and Power Point.

  • Must possess a customer service mindset, with the natural disposition to be helpful and aid others in the workplace wherever possible.

  • Excellent communication skills necessary to communicate effectively with clients and co-workers using tact and diplomacy, especially when in high pressure situations.



These additional qualifications are a plus, but not required to apply:


  • Some college coursework preferred

  • 2 years of relevant clerical/administrative experience preferred
