We are seeking a highly motivated and organized Accounting Administrative Assistant to join our dynamic accounting department. The ideal candidate will be detail-oriented, possess strong organizational skills, and thrive in a fast-paced environment. As an Administrative Assistant, you will play a crucial role in supporting the day-to-day operations of our accounting team.

Requirements

  • Provide administrative support to the accounting department, including but not limited to answering phone calls, scheduling appointments, and managing correspondence.
  • Assist with the preparation and processing of financial documents, such as invoices, purchase orders, and expense reports.
  • Maintain accurate records of financial transactions and update databases accordingly.
  • Coordinate meetings and appointments for department members, including arranging conference rooms and preparing meeting materials.
  • Assist with the organization and maintenance of accounting files and records, both physical and electronic.
  • Collaborate with team members to ensure timely completion of tasks and projects.
  • Perform general office duties, such as photocopying, scanning, and filing, to support the efficient operation of the department.
  • Assist with special projects and initiatives as assigned by department managers or supervisors.
  • Uphold confidentiality and discretion when handling sensitive financial information.

Skills
  • Proven experience as an administrative assistant or in a similar role, preferably within an accounting or finance department.
  • Proficiency in Microsoft Office suite (Word, Excel, Outlook, PowerPoint) and accounting software (e.g., QuickBooks, Yardi).
  • Excellent communication and interpersonal skills, with the ability to interact professionally with colleagues and external stakeholders.
  • Strong attention to detail and accuracy, with the ability to multitask and prioritize tasks effectively.
  • Ability to maintain confidentiality and handle sensitive information with integrity.
  • Strong organizational and time-management skills, with the ability to meet deadlines in a fast-paced environment.

Education
  • High school diploma or equivalent; associate or bachelor's degree in accounting, finance, or related field preferred.
