Responsibilities

This position is responsible for performing advanced accounting tasks and monitoring the financial activities of the National High Magnetic Field Laboratory (NHMFL) by managing reconciliations, auxiliary billing, accounts payable, and related financial records.



  • Performs the maintenance, reconciliation, and accountability of departmental ledgers, including the core grant expenditure review and corrections. Monitors the business activities through maintenance and control of financial records. Provides quarterly reviews and investigation of potential questionable or unallowable expenditures, per SRA guidelines. Performs journal transactions to correct account code and funding source errors.

  • Performs the Auxiliary Billing process as a delegate of the Assistant Director/Fiscal through spreadsheet uploads, including the billing of internal and external customers for all MagLab Auxiliaries. Analyzing, verifying, and performing complex financial reconciliations of the auxiliary billing process. Responsible for periodic self-monitoring of the billing process to ensure accuracy of records via a reconciliation process.

  • Responsible for the oversight of the unencumbered Accounts Payable function and processes for NHMFL. Serves as the primary contact and liaison with Central Accounts Payable for matters involving the prompt handling of invoice payments. Reviews and prepares "Payment Request Forms" for other special payments. Works with vendors and NHMFL staff to resolve billing problems. Monitors and ensures the propriety of payments, ensuring compliance with the Florida State University Prompt Payment Policy and other applicable laws, policies, and procedures of the State of Florida and Florida State University. Ensures related documentation requirements are fulfilled.

  • Serves as the P-Card proxy and reconciler for all NHMFL p-card holders, to include document imaging for daily and monthly reconciliations. Ensures compliance to P-card rules. Monitors transactions to ensure that charges meet requirements and are applied to the appropriate accounts. Maintains and uploads purchasing card documentation. Acts as liaison to other FSU departments for routine business transactions processing.

  • Responsible for reviewing, interpreting, recommending, developing policies and procedures to ensure the enhancement of services provided to NHMFL. Identifies potential issues and sets systems into place to improve workflow and quality of work. Responsible for interpreting and complying with Florida Statutes, State, and University policies and procedures as required. This position interacts with fiscal, human resource, and academic personnel and administrators throughout the NHMFL to ensure fiscal accuracy.

Qualifications

A Bachelor's degree and two years of experience; or a high school diploma or equivalent and six years of experience. (Note: a combination of post high school education and experience equal to six years.)

Preferred Qualifications

  • An accounting degree with 1-2 years of previous experience with concepts, principles, and practices of accounting, budgeting, cost control procedures, and financial reporting preparations.

  • Experience with horizontal & financial analysis, complex reconciliation skills, strong critical thinking skills, experience with creating executive summaries and presenting analysis findings.

  • Knowledge of electronic data processing as it applies to fiscal and accounting activities including strong Microsoft Excel skills.

  • Experienced in compiling, reviewing, and reconciling data for accuracy, completeness, and compliance.

  • Ability to prioritize, organize, and perform multiple work assignments simultaneously in a detail-oriented environment.

  • Ability to communication effectively with different groups and/or individuals verbally or in writing.
