Executive Assistant - Hybrid (Maplewood, MN)

The Impact You'll Make in this Role

As an Executive Assistant, you will have the opportunity to tap into your curiosity and collaborate with some of the most innovative and diverse people around the world. Here, you will make an impact by:


  • Demonstrating exceptional organizational skills and discretion with the ability to prioritize tasks effectively to ensure seamless operations and support to the Executive .

  • Exhibiting professionalism, efficiency, and a proactive approach to managing complex schedules, communication, and administrative tasks in a fast-paced and dynamic environment.

  • Responsible for calendar management and coordination of multiple complex calendars across the team, including scheduling meetings, events, appointments, and travel arrangements.

  • Managing all travel arrangements including flights, accommodations, transportation, and visas.

  • Administering travel and entertainment expense submission for the Executive, process purchase orders, and monthly departmental expenses and headcount review.

  • Coordinating and preparing agendas and logistics for meetings, including room bookings, catering arrangements, and technical support.

  • Organizing meeting notes and minutes, identify follow-up actions, and track progress on open items.

  • Excellent communication skills, both written and verbal, with the ability to interact professionally with individuals at all levels of the organization.

  • Planning and coordinating onsite and offsite team meetings.

  • Handling confidential financial information and maintaining files/archives (electronic/physical).

  • Willingness to be on-call; high-energy, and a problem-solving attitude.

  • Maintaining organization charts, preparing, and maintaining Excel spreadsheets, database management, tracking and monitoring budgets, maintaining SharePoint and MS Team sites, and preparing reports.

  • Assisting with hiring process, talent review process and other Human Resource related processes.

  • Assists in preparation and editing of presentations and documents.

Your Skills and Expertise

To set you up for success in this role from day one, Solventum requires (at a minimum) the following qualifications:

  • Bachelor's Degree or higher AND Two (2) years of administrative support experience

OR

  • High School Diploma/GED from AND Seven (7) years of administrative support experience

AND

In addition to the above requirements, the following are also required:


  • Three (3) years of combined experience in an administrative assistant function, secretarial, and/or clerical role in a private, public, government or military environment

  • Project management experience

  • Knowledge of Accounting practices

Additional qualifications that could help you succeed even further in this role include:


  • Experience supporting corporate legal executives

  • Experience handling confidential, sensitive business information and supporting executive level professionals

  • Advanced proficiency in MS Office including Outlook calendaring, MS Teams and Teams Live, Word, Excel, and PowerPoint

  • Global support for international teams

  • Strong attention to detail and excellent organizational skills

  • Strong written and oral communication skills

  • Ability to work in a hybrid environment, coming to the office to assist with on-site processes as needed

  • Be a notary

  • Project management experience

Applicable to US Applicants Only:The expected compensation range for this position is $82,370 - $100,675, which includes base pay plus variable incentive pay, if eligible. This range represents a good faith estimate for this position. The specific compensation offered to a candidate may vary based on factors including, but not limited to, the candidate's relevant knowledge, training, skills, work location, and/or experience. In addition, this position may be eligible for a range of benefits (e.g., Medical, Dental & Vision, Health Savings Accounts, Health Care & Dependent Care Flexible Spending Accounts, Disability Benefits, Life Insurance, Voluntary Benefits, Paid Absences and Retirement Benefits, etc.).
