Provide administrative support to the Director of Administration and related Department Managers, includes Administrative Manager, Secretarial Services, Conference Center Manager, Purchasing and Catering Manager, Facilities Manager and Office Operations and Safety Manager.
Handle calendar management in Outlook, schedule meetings, facilitate when others are scheduling and ensure the Director of Administration's calendar is up to date.
Draft and update office communications, includes holiday coverage emails, weekly messages, firm announcements, etc.
Arrange various events and meetings, draft invitations, coordinate with IT, Catering and Conference Center Services for office events, work with Marketing and Travel & Events, as needed.
Support Partner and Manager Meetings, schedule and send Outlook invitations, solicit agenda items, take minutes for distribution, when requested, and book conference rooms, Zoom/Teams meetings.
Handle administrative tasks related to arrival and departures of Attorneys and Staff, draft messages, update various records, ensure various departments are informed, schedule onboarding and departure meetings, and preparation of other related documents.
Utilizing Excel, manage and maintain various documents for informational and tracking purposes.
Coordinate various office services and wellness programs, annual flu shots, maintain sports ticket charts, and other services provided throughout the year.
Manage service recognition program, includes annual luncheon, staff anniversaries and other related activities.
Provide backup support for Reception, including overtime support, as needed.
Process all invoices and expense reimbursements via ChromeRiver.
Update and maintain information on the office intranet page.
ABOUT YOU
Three or more years or related experience in a law firm or other professional services firm.
Proficiency with Word, Excel, PowerPoint, and Outlook required, with ability to master new software programs.
Highly effective communications skills and ability to communicate credibly and diplomatically with all levels in an organization and build effective internal and external client relationships.
Strong sense of accountability, taking ownership over projects and responsibilities and resolving issues proactively.
Ability to manage multiple requests, assess priorities and achieve solutions under deadline.
Ability to take an assignment from inception to completion with minimal supervision or by following broad guidelines.
Ability to maintain professionalism under pressure.
Ability to keep confidential any information, observations or viewpoints regarding Firm personnel or matters.

San Francisco salary range: $62k to $92k
