About the Role:
We are seeking a highly organized and proactive Administrative Assistant to support our project management team. This individual will play a crucial role in managing correspondence, maintaining the master project calendar, travel calendar for the project team and developing project deliverables. The ideal candidate will have extensive experience with Microsoft Office Suite, Google Business Suite, and Adobe Pro Software to handle a variety of administrative tasks efficiently.
Key Responsibilities:
Document Management: Prepare and organize project-related documents, ensuring all records are up-to-date and accessible, these include SOP's, Training Materials and other documents as developed and required.
Correspondence Management: Handle communication with internal and external stakeholders, including drafting and proofreading emails, reports, and other documents.
Calendar Management: Maintain and organize project travel calendar for project team, posting team meetings, appointments, and project deadlines for the master project calendar.
Meeting Coordination: As requested by the Project Manager's schedule and coordinate project meetings, including arranging meeting rooms and preparing agendas and materials.
Reporting: Generate and maintain reports using Excel, including project status updates, and other relevant data as the project requires.
Qualifications:
Experience: Minimum of 3 years of administrative support experience, preferably in a project-based environment.
Technical Skills: Proficiency in Microsoft Office Software Tools; Microsoft Word- Advanced Word Knowledge, Editing, Template Creation, Efficient Document Controls, Document Version Management, Excel and advanced Excel skills (pivot tables, VLOOKUP, data analysis), PowerPoint, SharePoint, Advanced Formatting Skills
Technical Skills: Proficiency in Google Business Suite (Gmail, Google Calendar, Google Drive, Google Docs, etc.).
Technical Skills: Proficiency in Adobe Software Suite
Technical Skills: Ability to share documents between Google, Microsoft, Adobe Software Suites.
Technical Skills: Ability to create forms and templates and know the difference for what needs to be used to complete the project documents
Organizational Skills: Strong ability to manage multiple tasks simultaneously and prioritize responsibilities effectively.
Communication Skills: Excellent written and verbal communication skills with a keen eye for detail.
Problem-Solving: Proactive and resourceful in identifying and addressing potential issues before they arise, however, also have the ability to follow direction.
Time Management: Ability to meet project deadlines or discuss the need for resources to meet the timeline.
Team Player: Ability to work collaboratively with project managers and other team members, maintaining a positive and professional attitude.
Education: Preferred: Associate's Degree or higher in Business Administration or a related field.
Additional Requirements: Must be able to work on-site.
