Responsibilities
Project Coordination: Support project managers in scheduling, tracking, and coordinating HVAC projects, including installation, maintenance, and service.
Documentation & Compliance: Manage and organize project documents, including permits, contracts, and submittals, ensuring they meet compliance standards and are readily accessible.
Client & Vendor Communication: Act as a point of contact for clients and vendors, managing inquiries, resolving issues, and facilitating smooth communication.
Budget Tracking & Invoicing: Assist with project budget monitoring, processing invoices, and preparing cost reports to ensure financial targets are met.
Scheduling & Dispatch: Work closely with dispatchers to allocate resources effectively and coordinate field technician schedules to meet project timelines and client expectations.
Qualifications
Experience: Minimum of 3+ years of administrative or project support experience within a commercial mechanical contractor setting.
Local & Stable Work History: Proven track record with a stable employment background in the local Phoenix area.
Technical Proficiency: Familiarity with project management software, Bluebeam, MS Project, and construction-specific tools.
