Our client, a print media company located in Boston, MA, is seeking an executive assistant to join their team for 3 months, with a potential to turn permanent. The schedule for this role is Monday-Friday, totaling 37.5 hours per week, and it is compensating $30-$35 an hour, depending on experience. Responsibilities:
Develop and maintain positive working relationships with staff, internal and external partners, CEO, and Senior Leadership team.
Provide comprehensive calendar management, prioritize inquiries and requests, troubleshoot conflicts/changes and make recommendations to ensure effective operations.
Coordinate all aspects of internal and external meetings for committees and Board of Director meetings.
Develop general communication and agendas, manage meeting set-up, take and transcribe meeting minutes.
Compose emails/general correspondence at the direction of the CEO.
Arrange travel and create itinerary.
Accurately track and submit expenses for Editor-in-Chief.
Create/edit PowerPoint presentations.
Maintain a high level of confidentiality and operate with a high degree of discretion.
Coordinate projects and proactively identify areas of support and assistance.
Receive, screen, and respond to incoming calls/mail/email.
Requirements:
Bachelor's and/or Associates degree preferred
Minimum of 3-5 years of demonstrated functional Senior Administrative Assistant / Executive Assistant experience and desire to continue in an EA role
Exceptional interpersonal and communication skills (verbal and written)
Ability to handle multiple tasks and to prioritize with proven attention to detail
Exceptional organizational and project management skills
Strong attention to detail and highly organized
Excellent decision-making and problem-solving skills
Demonstrated ability to handle privileged or confidential information with discretion
High level of proficiency with Microsoft Office (Word, Excel, PowerPoint), WebEx, Slack, Teams and Zoom.
