Our client, a dynamic private equity firm, is seeking an executive assistant to strategically support two managing partners in their Palo Alto Office. The ideal candidate for this position is someone who can use good judgment and be proactive to take the next step when needed to ensure workflow remains consistent.
Schedule: The role is 3 days in the office and 2 days work from home.
Responsibilities
Provide superior and strategic support to 2 Partners including managing multiple calendars, including scheduling internal and external meetings
Coordinate and book both domestic and international travel arrangements, including flights, hotels, and visa requirements as needed
Light Administrative support to additional team members
Light personal assistant duties as needed to ensure optimization of time
Maintain and coordinate board meeting schedules
Interface with both internal and external stakeholders
Perform expense reports
Manage projects and ad hoc duties as required
Qualifications
Bachelor's degree highly prefered or relevant experience supporting a partner in a high level strategic administrative role in PE or VC
9+ years of experience in administrative support
Strategic thinker and high EQ
Experience in financial services environment prefered
Proficient in Microsoft Office suite
Excellent written and verbal communication skills
Experience in managing multiple priorities, administrative coordination, and logistics
Well-organized, detail-oriented, ability to multi-task with great follow-up skills
