We are currently seeking an Executive Assistant to provide comprehensive support to our Co-CEO.
This role combines professional and personal assistant duties, with a majority of the responsibility focused on professional tasks.
What You'll Do
Manage daily scheduling, coordination, and meeting logistics efficiently, providing high-quality support with minimal oversight and prioritizing tasks to align with business needs.
Coordinate and oversee comprehensive domestic and international travel arrangements, handling expense reports efficiently.
Prepare the Co-CEO for all internal and external meetings by gathering materials from internal stakeholders, creating detailed agendas, drafting preparation documents, and ensuring all required materials are organized and available.
Keep the Co-CEO informed about ongoing projects, emails, mail, and other correspondence.
Build and nurture relationships with executives and team members across the organization to enhance collaboration and communication.
Support various projects and assist in organizing company offsites as needed.
Arrange car services for all travel needs, ensuring timely and convenient transportation.
Manage and coordinate the Co-CEO's personal appointments, optimizing their schedule for maximum efficiency.
Responsible for coordinating and managing all aspects of breakfast and lunch arrangements
Handle family arrangements with discretion and meticulous attention to detail, managing confidential matters effectively.
Organize personal domestic and international travel, including accommodations and itinerary planning, while managing other personal tasks as needed.
Qualifications
Bachelor's degree with 5+ years of experience as an Executive Assistant.
Proactive and self-initiating approach to tasks.
Preferred experience supporting C-Suite executives or senior leaders.
Ability to thrive in a fast-paced environment and adapt quickly to changing priorities.
Highly motivated, with strong multitasking capabilities.
Excellent interpersonal, verbal, and written communication skills.
Exceptional administrative, planning, and organizational abilities.
Sound judgment in a variety of situations.
Commitment to confidentiality and discretion in handling sensitive information.
Meticulous attention to detail and accuracy.
Proficiency in G-Suite and Microsoft Office applications.
Must be able to work 5 days a week in-office; hours are 7:45am - 5:15pm (may include nights and weekends)
