Description

The Admissions and Records Representative plays a crucial role in evaluating credentials for undergraduate applicants to the university. This position is responsible for ensuring that admissions processes are conducted accurately and efficiently, providing expertise in admissions policies and procedures, and maintaining high standards in the evaluation of student records. The Admissions and Records Representative will also train staff, engage in prospective student activities, and contribute to departmental documentation and reporting.

Key Responsibilities:

  1. Credential Evaluation:
    • Evaluate and assess credentials of undergraduate applicants to determine eligibility for admission.
    • Process admission decisions for various applicant categories, including Freshmen, Transfers, Visiting Students, and specialized programs (e.g., RN/BS Nursing, dual admission).
  2. Policy Interpretation and Counseling:
    • Interpret university admission policies and procedures, providing guidance to applicants and staff regarding academic requirements.
    • Counsel prospective and current students on admission processes and academic pathways.
  3. Training and Supervision:
    • Train new staff members on admission processes and policies, checking their daily assignments for accuracy and compliance.
    • Retrain staff as necessary to maintain consistency and quality in admissions activities.
  4. Data Management and Reporting:
    • Maintain and update various spreadsheets related to admission applicant totals, preparing daily reports for the Director of Undergraduate Admissions and other leadership.
    • Run Argos reports to compile comprehensive lists of admissions data.
  5. Documentation and Records Maintenance:
    • Manage and maintain student academic records, ensuring accuracy and compliance with university policies.
    • Enter and verify applicant data into the university's Banner system, including high school transcripts, ACT scores, and other supporting documents.
  6. Administrative Support:
    • Process required application payments and refunds, ensuring proper documentation and reporting.
    • Perform clerical duties such as downloading electronic transcripts, reviewing and routing mail, and imaging/linking documents.
  7. Communication and Documentation:
    • Compose and contribute to written materials related to admissions procedures and departmental manuals to streamline processes.
    • Communicate with applicants to clarify application information as needed, ensuring a thorough evaluation of credentials.
  8. Quality Assurance:
    • Calculate grade point averages and verify the accuracy of academic records to ensure consistent admission decisions.
    • Review college accreditation for unfamiliar institutions and adjust admissions levels based on documented coursework.

Typical Qualifications

Minimum Qualifications:

  1. High school diploma or equivalent.
  2. Any one or combination totaling two (2) years (24 months) from the categories below:
    1. course work in any discipline as measured by the following conversion table or its proportional equivalent:
      • 30 semester hours equals one (1) year (12 months)
      • 60 semester hours or an Associate’s Degree equals eighteen months (18 months)
      • 90 semester hours equals two (2) years (24 months)
    2. work experience in administrative support, admissions and enrollment, customer service, public relations, records management, or closely related experience.

Illinois Residency Requirement: Pursuant to the State Universities Civil Service System, out-of-state candidates must establish Illinois residency within 180 calendar days of the start date for this position.
