MobiliSE is a Milwaukee-based non profit organization that advocates for transportation choices and oversees FlexRide Milwaukee, an innovative on demand workforce transportation service operated by MobiliSE. Since its launch in 2022, FlexRide has given over 100,000 rides, helping over 5,000 Milwaukeeans reach job locations in the suburbs.
Reporting to MobiliSE's Executive Director, the Program Assistant is an essential member of the MobiliSE and FlexRide team, supporting the Executive Director in all aspects of MobiliSE's operations, including oversight of FlexRide Milwaukee, convenings and events, and in educating decision makers on the importance of robust regional transportation alternatives. This includes community relations, compliance and performance monitoring of contractors, grant reporting and board management.
The ideal candidate will bring a passion for MobiliSE's mission and a belief in the power of transportation choices to change lives. They will have excellent data analysis, organizational and communication skills, have proficiency in the Office Suite, Adobe, and the latest AI tools, and thrive in diverse settings among a wide variety of business, civic and community leaders.
This is a one-year independent contractor position with the possibility of extension pending continued funding past 2025. The position, while mostly virtual, requires frequent in person meetings and presentations, involving travel throughout the Milwaukee metro area.
Job Responsibilities
Community Relations
Support the Executive Director in making presentations to community groups, including creating PowerPoint presentations, providing data for presentations, creating charts and tables.
Stand in for the Executive Director in making presentations as needed.
Manage monthly meetings with FlexRide partners, including tracking attendance and sending invites; also create presentations.
Staffing meetings with community groups and community partners, taking notes, developing and distributing post event surveys
Represent Flex Ride at job fairs and other community events, sharing details about FlexRide with the public, and answering questions about how the program works.
Contract Compliance and Performance Monitoring
Attend weekly meetings with Via Transportation, Inc, FlexRide's contracted operator.
Track key metrics daily, identify trends, highlight concerns to the Executive Director, and maintain a weekly dashboard of key metrics.
Analyze data related to rider trends.
Advise the Executive Director on contract extensions or program changes.
Business Partner Relations
Maintain regular, consistent communication with FlexRide business partners, including regular ride updates, ensuring that business have promotional materials and flyers they need to promote the program.
Prepare data and PowerPoints for presentations to business partners.
As needed, prepare and send invoices to funders and business partners
Grants Management
Help prepare grant reports to government and private funders, in partnership with the Executive Director.
Support grant writing efforts through data collection and analysis and occasional full grant writing, as requested.
Board Management
Transcribe board meetings and create and disseminate meeting minutes using AI note-taking tools
Compile and send out board meeting packets using Adobe Pro
Manage and update an online board portal
Track board member attendance and participation
Organize in-person board meetings using Doodle and other tools
Coordinate technology for hybrid and virtual board meetings using Microsoft TEAMS and other tools
Position Requirements
Excellent written and oral communication skills.
Minimum 5 years experience in program administration, community development or related field
Well organized, goal oriented
Proficient in data analysis.
Bachelors Degree in urban planning, business administration, community development or related field is required. Masters degree, or current enrollment in a masters degree program is a plus.
Proficiency in Office Suite, TEAMS, OneDrive, Adobe, and GPT enabled AI tools
A high degree of professionalism in a wide variety of settings, including among business, community and civic leaders.
Hourly pay $29/hr - average 40 hours per week
